Children's Therapy Place is a full-service outpatient pediatric therapy clinic. Our clinics provide speech and language services, occupational therapy, physical therapy, mental health counseling, and behavioral and developmental support through our developmental disabilities agency.
We are currently recruiting for an Therapy Office Manager to join our team.

Reports to: Admin Manager
Duties/Responsibilities:
- Oversee the creation and maintenance of therapy staff schedules, ensuring balanced caseloads and minimizing conflicts or overlaps in appointments.
- Facilitate patient scheduling across multiple disciplines, including physical, occupational, and speech therapies.
- Collaborate with therapists to address scheduling needs, special accommodations, or changes in availability, while maintaining open communication between teams.
- Proactively resolve scheduling conflicts, such as last-minute cancellations, no-shows, or overbooking, by rescheduling patients or reassigning therapists as needed.
- Lead the scheduling and reception team by delegating tasks, monitoring performance, and delivering training when necessary.
- Provide coverage for schedulers or receptionists as needed, ensuring continuity of operations during absences.
- Greet and assist clients and visitors in person or over the phone, addressing inquiries and ensuring appointments stay on schedule.
- Handle client payments (deductibles, copays) and coordinate with the Accounting team for processing.
- Maintain the confidentiality of client information in compliance with HIPAA.
- Manage and audit client files, including closing/discharging and archiving them when necessary.
- Conduct regular insurance/Medicaid eligibility checks and coordinate Physician Order renewals as required.
- Coordinate and participate in departmental meetings, collaborating with management, therapists, and client families to ensure seamless communication and operational efficiency.
What you’ll bring:
- Prior management or supervision experience required.
- Prior administration and scheduling experience required.
- Prior experience in a health care setting preferred.
- Ability to maintain positive relationships and rapport with coworkers, clients, family members and other facility personnel.
- Reports to work as scheduled, on time and coordinates schedule to achieve maximum productivity and efficiency during assigned shift.
- Regular attendance is required and essential for successful department performance.
- Must pass a criminal background check prior to employment.
