COUNTY OF GREENE JOB DESCRIPTION
POSITION: Administrative Assistant I
Regular Full-Time
DEPARTMENT: Office of the Prothonotary
SALARY: Pay Grade 9 SEIU Bargaining Unit
Starting Rate $14.13/hr
HOURS: 8:30 am to 4:30 pm / Monday – Friday
1 Hour Unpaid Lunch / 35 Hours Per Week
BENEFITS: Full County Benefits after 90 days

OVERALL OBJECTIVE OF THE POSITION:
To perform secretarial/clerical duties needed within the office for the administrator—Prothonotary.
ESSENTIAL DUTIES OF THE POSITION:
1. Maintains department files according to prescribed standards.
2. Processes daily incoming mail.
3. Greets visitors, and provides them with general information relating to the department.
4. Answers incoming phone calls and responds to routine inquiries or directs callers to proper personnel.
5. Interacts with other internal departments and external agencies and general public as required to carry out essential duties.
6. Hand-delivers deposit to bank daily.
7. Reviews and processes notations on ancillary pleadings such as divorces, custody cases, civil proceedings, and equity cases.
8. Dockets all satisfactions, releases, and praecipes to settle and discontinue cases.
9. Reviews and processes sheriff’s returns.
10. Processes e-mail inquiries from attorneys and law firms.
11. Maintains the department’s archives as well as archived file retrieval for attorneys and abstractors.
12. Operates computer, copier, printers, and other office equipment necessary to perform essential duties.
13. Updates department records and binders.
OTHER DUTIES OF THE POSITION:
1. Maintains the front counter.
2. Attends meetings or training sessions as necessary.
3. Assists other staff as needed.
4. Performs other job-related duties as required.
5. Reviews, processes, and accepts passport applications.
SUPERVISION RECEIVED:
Receives instruction and supervision with regard to daily work duties from Prothonotary. Work performed is reviewed by the Family Court Coordinator.
SUPERVISION GIVEN:
None.
WORKING CONDITIONS:
1. Works indoors in adequate office space, lighting, ventilation and temperatures.
2. Normal exposure to noise and stress, but subject to frequent disruptions.
3. Normal exposure to indoor dust/dirt.
PHYSICAL/MENTAL CONDITIONS:
1. Must possess ability to record, convey and present information, explain procedures and follow instructions.
2. Must be able to sit for long periods throughout the workday, with intermittent
periods of standing and walking and occasional twisting, bending, stooping, reaching as necessary to carry out job duties.
3. Dexterity requirements range from coordinated movements of fingers/hands for
typing and computer, to simple dexterity of feet/legs; torso as necessary to carry out job duties.
4. Sedentary work, with occasional lifting/carrying of objects with a maximum
weight of ten pounds.
5. Must be able to pay close attention to detail and to concentrate on work.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
1. Must be able to speak and understand the English language in an understandable manner in order to carry out essential functions of the position.
2. Must possess good communication and interpersonal skills.
3. Must possess ability to function independently, have flexibility and the ability to work effectively with co-workers and the general public.
4. Must possess ability to maintain confidentiality in regard to County information and records.
5. Must possess the technical knowledge of operating personal computers and other office equipment with accuracy and reasonable speed.
QUALIFICATIONS:
1. Education/Training—High school diploma or Associates Degree in Business.
2. Work Experience—1-2 years working experience in a professional office environment OR any equivalent combination of experience and/or training.
3. Basic Computer Skills – Proficient in Microsoft Office programs including Outlook and Word.
