Friendship Baptist Church Administrative Assistant is a full-time salaried position. The Pastor of Friendship Baptist Church, alongside the Church Administrator and Board of Trustees, supervises this position. The Church Administrator serves as the immediate supervisor, and the Trustees serve as Human Resources/Personnel.
This position handles various responsibilities; Office Management, Confidential Assistant to the Pastor, Scheduling and Attending meetings/functions on behalf of the Pastor, and other duties as needed. Confidentiality and trust are of the utmost importance. By not adhering to and upholding the church's confidentiality and privacy standards, you may be dismissed from this position. This position may require you to work on some Saturdays.
Job Prerequisite:
As an Administrative Assistant, you are the frontline of the church on a day-to-day basis. Because of this, the position requires you to have a positive Christian attitude and be courteous, tactful, patient, and professional. The Administrative Assistant must be flexible and willing to adapt to changing schedules and events at the church. The Administrative Assistant must be honest and trustworthy as they will have access to secured areas of the church. The Administrative Assistant must be committed to the mission and goals of the Church as defined by the Pastor.
Duties and Responsibilities:
- Perform Executive level duties as required by the Pastor and Church Administrator about the Church
- Provide confidential secretarial support and clerical support to the Church in all areas, including but not limited to maintaining the Pastor’s and the Church’s calendar, scheduling meetings, organizing mail, prioritizing tasks, making travel arrangements, answering telephones, copying materials, and distributing information, managing all aspects of church registrations for activities, ordering supplies, managing the sick and shut list, preparing and forwarding resolutions, ordering office and culinary supplies
- Required to attend corporate meetings of the Church
- Provides direct supervision to office staff, volunteers, etc.
- Prepare and call-in weekly payroll.
- Maintain a central filing system for the office, including program documents, auxiliary meeting minutes, church meetings, and all applicable church correspondence
- Ensure timely, accurate, and relevant dissemination of information to Pastor, Church Administrators, Deacons, and Trustees. The Administrative Assistant will be relied upon to keep the Pastor and other designated Officers informed of critical and vital issues related to the church.
- Maintain a typed updated listing of all office passwords and passcodes for easy access
- Maintain an updated yearly log of Staff, vacation, personal and sick time for all staff
- Establish office procedures and effective operating systems as needed
- Maintain an effective filing and retrieval system for the Pastor
- Manage Pastor’s calendar, handle corporate meetings and travel logistics
- Keep the Pastor and the Congregational Care Ministry informed of deaths, illnesses, and other crises of the membership
- Assist in the coordination of Baptismal Services
- Coordinate and review Funeral and Wedding Policies held at church with the relative parties
- Create flyers, posters, and banners for church functions
- Ensure that all monies collected for paid services are appropriately documented and transferred to the Finance Ministry
- Maintain and update Office inventory
- Assist as needed to the Finance Office
- Maintain status as Notary if possible
- Maintain Employees schedule
- Manages centralized ordering systems
- Attend all Church Leadership Training
- Assist and perform all Robo Calls and Texts as needed to ensure messaging is professional, articulate, and relevant.
- Adhering to all Covid 19 laws, rules, and policies
- Any other duties that may be assigned

Pay: From $41,870.40 per year

- Weekends as needed
