Position Title: Tax Specialist
Category: Non-Exempt
Reporting Relationship: Reports to President
Position Summary:
This position is responsible for keeping clients compliant with all federal, state, and local taxing authorities in regards to payroll taxes. In addition to creating and submitting tax payments, this position directs all aspects of the client tax processes, the preparation of quarterly and annual employment tax reconciliation and filing to federal and state agencies. The Tax Specialist is also responsible for developing and maintaining positive customer relations while coordinating with various functions within the company to ensure all tasks are handled appropriately and correctly in a timely manner.
Essential Functions:
- Initiate the processing of daily, monthly, and quarterly tax payments and validations in accordance with applicable laws established by the tax authority.
- Oversee and manage the quarterly and year-end processing of federal, state and local payroll tax returns.
- Ensure that all W-2 files are submitted prior to due date for federal, state and local agencies.
- Handle ACA form printing and filing.
- Assist with annual 1099 creation and filing on both the federal and state level.
- Attend to customer’s needs while accomplishing other daily tasks and abiding by company policies and procedures while keeping client confidentiality as an utmost concern.
- Identify and resolve tax matters with federal, state, and local agencies on a timely basis.
- Monitor federal, state and local tax changes to ensure proper client compliance.
- Verify tax deposit frequency, account numbers, tax rates, etc. are accurate for each client.
- Ensure all proper Tax Pay & File Agreements are executed and on file for each client.
- Review and take corrective action for clients appearing on the daily Balance Report.
- Prepare and/or maintain procedural manual and information for functional area.
- Assist in payroll processing as needed.
- Communicate effectively in a professional manner with clients, tax agencies and co-workers.
- Ensure prior tax data is entered and balanced for each new client.
- Calculate outstanding tax dollars to be collected for new client set-ups.
- Verify proper set-up of tax agencies, deposit frequencies and rates for applicable agencies for each new client.
- Perform any other work-related duties as assigned.
Other Duties:
Other new or related duties may be assigned to the Tax Specialist in other areas of the company to provide additional backup and support.
Minimum Qualifications:
- Accounting experience, including payroll, in a small/medium business would be beneficial.
- Strong knowledge in account reconciliation and payroll taxation.
- Excellent computer skills including all MS Office applications. (Word, Excel, Outlook, etc.)
- Must be efficient with strong attention to detail.
- Must have strong customer support (for both internal/external customers), demonstrate a professional demeanor and the ability to maintain confidential information.
- Must possess strong skills in organization and planning, a demonstrated ability to work independently and exercise sound judgement and problem solving.
Decision Making:
Tax Specialist is expected to reconcile and accurately submit all payroll-related tax funds to the appropriate taxing authority in a timely and efficient manner. Decisions may include how best to deal with tax notices and addressing client questions/concerns while maintain a calm, efficient demeanor within established legal and company guidelines.

Communication:
Excellent oral and written communication and analytical skills are required. The Tax Specialist must be able to work under time constraints and meet daily, weekly, monthly, quarterly and yearly deadlines as set not only by the company but by various taxing authorities and governmental agencies.
Supervisory Responsibilities:
None.

Personal computer, internet, calculator, copier, MS Office (Word, Excel, Outlook) and other office equipment as required.

Job Type: Full-time
Pay: $25.00 - $28.75 per hour
Expected hours: 37 – 40 per week
