Job Summary:
We are seeking a highly organized and professional Medical Office Administrative Assistant to join our team. This role involves managing the daily operations of the front/back office, providing exceptional customer service to patients, and supporting various administrative tasks to ensure the efficient functioning of our healthcare facility.
Duties:
- Reception Duties: Greet and assist patients and visitors in a professional and courteous manner. Manage front desk operations, including answering phone calls, scheduling appointments, and directing inquiries to the appropriate healthcare providers.
- Customer Service: Provide exceptional customer service by addressing patient inquiries, resolving issues, and ensuring a positive experience for all patients and visitors.
- Administrative Support: Perform various administrative tasks such as preparing and processing medical forms, managing correspondence, and coordinating office supplies.
- Office Maintenance: Ensure the front office area is clean, organized, and welcoming. Monitor and order office supplies as needed to maintain smooth operations.
- Compliance: Adhere to healthcare regulations, including HIPAA, and ensure patient confidentiality and privacy are maintained at all times.
Qualifications:
- Education: High school diploma or equivalent required; associate’s degree or higher in a related field preferred.
- Experience: Previous experience in a medical office or healthcare administrative role is highly desirable.
- Technical Skills: Proficiency in medical office software and electronic health records (EHR) systems; familiarity with office equipment (e.g., phone systems, printers, copiers).
- Communication Skills: Excellent verbal and written communication skills, with the ability to interact effectively with patients, medical staff, and other stakeholders.
- Organizational Skills: Strong organizational skills with the ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Attention to Detail: High attention to detail and accuracy in handling medical records, scheduling, and billing tasks.
- Customer Service: Demonstrated ability to provide excellent patient service with a professional and compassionate demeanor.
- Problem-Solving: Ability to handle unexpected situations, resolve issues promptly, and make sound decisions.
