Hampden-Sydney College is accepting applications for an Administrative Assistant and Programs Coordinator. Reporting to the Assistant Dean of the Faculty, the Administrative Assistant and Programs Coordinator is responsible for supporting the College mission by assisting with administrative operations of the Compass Program, Flemming Center for Entrepreneurship, and the Department of Fine Arts. This role provides comprehensive clerical and administrative support, manages the workflow of the three offices, coordinates programming activities and events, and maintains accurate records.
Duties
Manages the workflow for the Compass Program, Flemming Center, and Fine Arts department, balancing priorities and ensuring tasks are completed in timely manner.
Maintains office supplies, oversees the office and specialty equipment, and coordinates repairs when necessary.
Collaborates with the leadership of the Compass, Program, Flemming Center, and Fine Art department in managing schedules, meetings, and appointments.
Assists the units with administrative operations including correspondence, report preparation, and document distribution.
Manages logistics for program-related workshops, speakers, and special events, including calendars maintenance, marketing and communications, and accommodations arrangements. Researches and supports the development of new programs and initiatives.
Compile and analyze data for program assessment, outcomes tracking, and reporting.
Manages student employment for the units.
Supports budget management by processing expense reports, reconciling accounts, and tracking programs’ finances.
Performs other related duties as assigned by supervisor.
Qualifications
Education/Experience
High school diploma or GED, with minimum of 3 years of previous relevant experience, are required.
