Role Description
This is a full-time on-site role for a Front Desk Receptionist at JEM Technical in Orono, MN. The Front Desk Receptionist will be responsible for phone etiquette, receptionist duties, clerical tasks, communication with customers, and providing excellent customer service on a daily basis.
Duties and Responsibilities
- Answers incoming telephone calls, determines purpose of callers and forwards calls to the appropriate person or department. Takes and delivers messages or transfers calls to voice mail when the appropriate person is unavailable. References the Salesperson Directory for account assignments
- Communicates with callers in a professional manner using a pleasant and clear voice. Answers questions about JEM Technical and provides callers with address, directions, and other information.
- Welcomes on-site visitors, determines nature of business using sound judgment, and announces visitors to the appropriate person. Offers visitors coffee or water and offers to store personal items in the coat closet.
- Pages people over the company intercom using a pleasant and clear voice.
- Receives, sorts and routes mail daily.
- Manages office supplies by keeping on hand the appropriate level of supplies depending upon usage, fields requests/deliveries for associates for specific orders, keeps stock neat and tidy.
- Stocks the boardroom supplies (drinks, eating utensils and paper products) for visitors.
- Retrieves and routes faxes in a timely fashion.
- Leads maintenance of machines such as copiers and the postage machine by keeping supplies updated and ordering repairs.
- Assists management in lunch planning and events.
- Orders business cards & office signage.
- Manages electronic signage to welcome visitors, advise birthdays, anniversaries and other culture enhancing news.
- Enters accounts payable invoices daily into the purchase order system in an accurate and timely fashion. Works with the purchasing department to resolve pricing discrepancies between purchase orders and invoices.
- Provides professional office support as needed to support other teams.
- Complies with all JEM policies and procedures, including ISO, OSHA, and AWAIR requirements.
- Supports JEM’s vision and mission and exemplifies JEM’s core values daily.
- Maintains regular and predictable attendance.
- Performs other duties as assigned.
Qualifications
- One to two years related experience in an office environment and/or training; or equivalent combination of education and experience.
- Strong written and verbal communication skills, with the ability to communicate with all levels of management and company personnel.
- Intermediate computer skills with Windows and Microsoft Office.
Working Environment
- While performing the duties of this job, the employee is occasionally exposed to work near moving mechanical parts. The noise level in the work environment is usually quiet.
- Standard business hours are 8:00 a.m. to 5:00 p.m. and/or as aligned with manager and site needs.
