RiverPark Executive Suites is looking to hire a part-time Administrative Assistant to join our team. The perfect candidate will be highly motivated, self-driven, and reliable. The qualified Administrative Assistant will be responsible for the support of the day-to-day administrative needs of the Executive Suites Manager and RiverPark Executive Suites tenants.
Responsibilities:
· Greet and assist tenants and visitors at the front desk and ensure they receive the best customer service
· Answer a high volume of phones in a timely manner and transfer calls to individual tenants
· Accept and record payments delivered to the front desk
· Keep tenant contacts updated
· Assist with purchasing office supplies and equipment
· File, copy, fax and scan documents as needed
· Maintain Google calendars
· Keep office area, break room, business lounge and common areas clean and stocked
· Distribute incoming mail
· Process outgoing mail and maintain postage meter
· Receive shipments
· Coordinate social media platforms and tenant newsletters
· Assist with special events
· Perform administrative duties as needed by tenants
· Show office space, conference rooms and common areas to potential tenants
· Schedule and document conference room usage
· Notarize documents, stamp and bond provided by company
Requirements:
· Must have friendly people skills
· Must be able to speak clearly and effectively
· Speak and understand English well
· Strong written and verbal communication skills
· Experience in answering high volume phone calls
· Must be able to work in a fast-paced environment
· Ability to manage several projects and tasks simultaneously
· Proficient with Microsoft Office and Google Drive applications
· Proficient with QuickBooks, preferred but not required.
· Highly organized and pays close attention to detail
· Ability to work alone and with a team
· Problem-solving skills
· Flexible with schedule when extra coverage is needed
Working Environment:
Work is performed in a standard office setting with extensive public contact and frequent interruptions. Required to sit and stand for long periods of time; to occasionally stoop, bend, kneel, reach and twist. Also, carry or lift moderate amounts of weight up to 25 lbs. To operate office equipment requiring repetitive hand movement including use of computer keyboard.
Schedule:
Part-time work, average 20 hours per week. No overtime or weekend work.
