Position Summary
The Circulation/Digital Services Assistant oversees the daily operation of the circulation, reserve, overdues and interlibrary loans. Oversees shelving functions of the library and directs the daily activities of a staff of part-time student assistants working in the Circulation Department. The Circulation/Digital Services Assistant coordinates circulation of print and non-print materials through an automated circulation system. The Circulation/Digital Services Assistant has extensive interactions with Library employees, College faculty, staff, and students, and with library employees at other institutions statewide. The Circulation/Digital Services Assistant provides support service to five main areas in the library: circulation, print and online serials; webpage maintenance, computer commons and archives.
Essential Job Functions
1.Enables library patrons to fully utilize the resources of library through management of the circulation, reserve, overdues and interlibrary loan processes, and shelving functions and effective supervision of student assistants who perform the circulation and shelving activities.
2.Provides customer service by answering questions and resolving complaints regarding circulation and reserve functions, and overdue notices for patrons of the library by being knowledgeable of the policies governing those functions, receiving both verbal and written complaints from library patrons, investigating the facts of each complaint and resolving the complaint in a professional manner through decision-making or referral to an appropriate administrator.
3.Develops an effective and efficient staff of student assistants by recruiting and hiring qualified applicants, providing training in departmental operations and specific responsibilities, supervising work activities, and monitoring and evaluating performance. Coordinates work assignments in order to maintain accessibility of library collections, overseeing the work performed at the circulation desk, providing book and shelf maintenance, and the processing of incoming journals, documents, reserves, and other materials, scheduling student assistants to assure coverage of the library during operating hours and tracking hours worked. Assists the Dean in training and supporting new professional staff (librarians and part-time librarians) on circulation procedures. Maintains manuals and handbooks for Circulation student assistants and Circulation/Public Services Assistant.
4.Interact effectively and maintain relationships with library members by assisting with computer and audiovisual equipment as needed, and demonstrating the use of computer technology and electronic resources, such as the online catalog, databases, and electronic references, to access information.
5.Enables established circulation processes to function properly by ensuring the online database has up-to-date and accurate information delineating circulation and patron policies.
6.Organizes and maintains the Reserve Collection of books, audiovisuals, and documents as designated by faculty and entering Reserve information in the online circulation system. Leads the print and AV inventory.
7.Collects, identifies and organizes archival materials; creates archival database records; digitizes print pieces and photographic images; creates a procedure manual for handling archived materials.
8.Process Interlibrary Loans for Patrons, Faculty and Staff via OCLC using knowledge of interlibrary loan policies and protocols. Performs an in-depth search utilizing OCLC (Online Computer Library Center) using bibliographic search techniques.
9.Checks-in, processes, and maintains the print serials collection; updates serials holdings on OCLC; updates and maintains Serials Procedural Handbook; maintains periodical back issues in accordance with retention guidelines for each title; submits claims for missing issues through established procedures; participates in duplicates and exchange program for periodicals.
10.Processes overdue notices, facilitates resolution of lost book charges by serving as the initial appellate authority, determining the merits of individual appeals, granting reductions or cancellations of fines and charges as appropriate, and referring appeals not granted, or beyond the authority to grant, to an appropriate administrator.
11.Supports the mission of the College and library by enforcing policies, by advising patrons of those policies, and contacting the appropriate administrator or authority when compliance with those policies is not forthcoming.
12.Assists patrons in the use of the library by directing them to appropriate departments and resources, answering questions about general library and circulation policies and procedures, demonstrating use of equipment such as the on-line catalog system and locating needed materials for patrons.
13.Assists Dean with planning and preparation of the annual library report and budget by compiling statistical data on circulation activities including the volume of library materials discharged, number of reserve checkouts, number of overdues and billing actions, number of library patrons, and number of items recalled.
14.Monitors the Circulation Department and ensures effective operations by maintaining a sufficient amount of office supplies and equipment for daily operations and preparing replacement requests for equipment and supply items as needed. Requests and maintains library equipment and materials including photocopy machines and theft detection system.
15.Supports the use and accessibility of the library by ensuring the Computer Commons is operational and ready as a service unit each day. Ensures the efficient operation of the library by maintaining appearance and cleanliness of the Commons area and creating signage for the area, as needed. Facilitates flow and the efficient use of time and effort by making recommendations to the Dean for improvements in the Computer Commons.
18.Effectively resolves Library system problems by conducting thorough analyses of problems and serving as the primary person to report workstation, software and printer malfunctions.
19.Ensures the availability of computer resources by aiding users with wireless access, setup and logins for instruction sessions, and with Microsoft Office questions.
20.Supports the maintenance of the libraries website by providing ideas for design and development options; creating layout and color scheme for webpages for the library (via Enterprise), Disability Services and Academic Assistance (Tutoring); checking pages for outdated information or broken links; adding new content to pages as needed or requested by library faculty; reviewing and monitoring for accessibility regulations’ compliance.
21.Ensures efficient workflows and optimum business operations by creating a detailed procedures manual of work processes.
22.Models and promotes a culture where accessibility, diversity, equity and inclusion are embedded in college life and operations.
23.Remains competent and current through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses, and attending training and/or courses as directed by the Head of Access Services.
24.Contributes to the overall success of college by performing other essential duties and responsibilities as assigned by the Dean.
Requirements
- Associate’s degree with library sciences coursework or related field.
- One or more years of experience in library services, help desk work or similar position.
