GENERAL FUNCTION: The Integrated Behavioral Health Administrative Assistant will provide general administrative support to the Integrated Behavioral Health department.
ESSENTIAL JOB FUNCTIONS
- Provide support services to the Integrated BH Director including meeting minutes, data entry, filing, coordinate and schedule meetings, trainings, and conferences.
- Responsible for preparation of confidential documents and reports.
- Review and maintain written and computer files, plus conduct data entry.
- Order and oversee office supplies and food orders for group meetings.
- Assist in the coordination of administrative functions, including data management, personnel, meetings, and clerical duties.
- Assist with office operations, including purchasing, equipment, property inventory, building, and outreach materials. Greet and assist all visitors/patients and responds to their requests in a helpful and courteous manner on the phone and in person.
- Help implement new workflow, procedures, and system improvements within the front office area.
- Conduct fiscal reviews, surveys, and collect information on administrative matters.
- Provide administrative support including routing mail, taking minutes, answering phones, composing, proofreading, typing, faxing, filing, copying, scanning, data entry, etc. when necessary
- Respond to daily faxes and other communications in a timely manner.
- Explain available services and programs, policies, and procedures when needed.
- Maintain familiarity with and be able to fill in for other PAR duties in IBH as needed.
Requirements
- High School diploma or GED.
- Five (5) years’ experience providing administrative support.
- Three (3) years’ experience in an integrated behavioral health (mental health, addictions and/or behavioral health) clinic setting.
- Experience working with health insurance/coverage.
- Proficiency in use of MS Office products.
- Experience working with an Electronic Health Records/Electronic Practice Management system.
