Position Summary
The Centralized Scheduler reports to the Nursing Director and will be responsible for managing all appointments in the electronic health record for clients of the Center and initiating outbound calls to facilitate registration and scheduling. The position is responsible for providing high quality customer service to all providers and clients. The position will assist with other tasks as assigned and will embrace the Center’s mission, vision and value statement.
Essential Functions
- Coordinates and schedules patients/clients, medical/clinical appointments in the electronic health record.
- Provides exceptional customer service, organizational skills and demonstrates the ability to work in a fast-paced environment.
- Maintain patient/client confidentiality, at all times.
- Answers and directs telephone lines in a courteous/timely and professional manner.
- Provide patients/clients with resources, general information, location, directions and answers to general questions.
- Referring medical/clinical questions to the appropriate location.
- Obtain pertinent medical/clinical information in accordance with procedural guidelines.
- Completes data entry for tracking dashboards.
- Follows Center policies, procedures.
- Scheduling of all new patients/clients, follow-up appointments, re-scheduled appointments, follow-up on cancellations and no-shows.
- Performs other duties as assigned.
Essential Qualifications
- High School Graduate
- Bilingual Spanish/English
- Excellent telephone manners and skills
- Ability to communicate clearly and respectfully with clients and visitors.
- Skill in the operation of office equipment, including but not limited to computers, printers, copiers, calculators, and other job specific equipment.
- Ability to work collaboratively and build relationships with colleagues, coworkers, vendors, contractors, and the public.
- Ability to accurately prepare and maintain files, records, reports, and logs.
- Skill in using computer applications including electronic health record, spreadsheets, databases, and word processing software.
- Ability to identify and maintain confidential information.
- Ability to comprehend, express and exchange information over the phone, in person, in writing or through other communication or electronic devices.
- Ability to function efficiently in a stressful working environment.
- Ability to work collaboratively with people of diverse cultures and lifestyles.
- Ability to problem solve independently and in a team environment.
- Minimum of 2 years of behavioral health/medical office experience
Job Type: Full-time
