Summary: The Office Clerk plays a pivotal role in ensuring efficient office operations by undertaking a variety of administrative tasks, focusing on billing and receptionist duties. This position requires strong organizational skills, attention to detail, and excellent communication abilities.
Job Description/Responsibilities:
1. Billing:
- Prepare and process invoices, bills, and payment posting accurately and in a timely manner.
- Collaborate with the finance department to resolve billing discrepancies and ensure accuracy in financial records.
- Maintain updated records of all financial transactions and monitor outstanding balances.
2. Receptionist:
- Greet and assist visitors, clients, and employees in a courteous and professional manner.
- Answer and direct phone calls, taking messages or forwarding calls as needed.
- Manage incoming and outgoing mail, including sorting, distributing, and handling deliveries.
3. Administrative Support:
- Perform general clerical duties such as data entry, filing, photocopying, and scanning documents.
- Assist in scheduling appointments, meetings, and maintaining office calendars.
- Support other departments with administrative tasks as required.
Qualifications:
- Proven experience in billing, preferably within an office environment.
- Proficient in using billing software, Microsoft Office Suite and Quickbooks.
- Excellent organizational and multitasking abilities.
- Strong interpersonal skills and a professional demeanor.
- Attention to detail and accuracy in handling financial data.
- Ability to work independently and collaboratively within a team.
Education and Experience:
- High school diploma or equivalent; additional certification in accounting or relevant field is a plus.
- Prior experience in billing, receptionist duties, or office administration is preferred.
Working Conditions:
This role operates in a professional office environment. The Office Clerk may spend extended periods sitting and using a computer or engaged in administrative tasks.
Job Type: Full-time
Pay: $14.00 - $16.00 per hour
Expected hours: 30 – 40 per week
