Office Manager / Full Time / Monday - Friday / 7:00am-3:00pm

Office Manager wanted for a busy, family owned, service-oriented company dealing with residential and commercial properties. Company has 2 divisions. Position would oversee both Septic and Remodel sides of business. The Septic division provides residential and commercial tank cleanings, repairs, inspections, and replacements. The Remodel Division focuses on Residential Remodeling.

This position requires the ability to multi- task, focus on detail, and have a keen ability to prioritize goals and responsibilities with a sense of urgency. Must be able to complete work accurately despite constant interruptions. Must have excellent phone and customer service skills with an outgoing and friendly manner and presence. Additional duties include accounting and financial management for both divisions.

Responsibilities:

  • Answer multiple phone lines, pull files, set appointments & complete paperwork
  • Follow up with Field Tech and/or Customers regarding open issues, work to be completed, confirming appointments, setting future work
  • Explain the process flow of work to Customers
  • Typing and emailing reports, oversee and respond to email inquiries
  • Pull permits, bonds, CBYD, and other items for project work
  • Postcard mailings and other marketing processing
  • Miscellaneous filing, reporting and projects as needed
  • Accounting: A/R, A/P, coordinating with outside consultant for balance of work
  • Light office cleaning

Qualifications:

  • Muse be a QuickBooks Expert User
  • Must have excellent customer service skills
  • Must be able to sit for several hours at a time
  • Must have 3-5 years of business experience
  • Possess superior writing, organizational and management skills
  • Must be able to lift and move files weighing up to 20lbs
  • Must be able to understand and carry out written and verbal instructions
  • Must be able to maintain concentration and accuracy despite frequent interruptions
  • Must be an expert user in Word, Excel and Windows Operations.
