Directly supporting senior leadership, the Executive Assistant (EA) provides executive support in a one-on-one working relationship. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
Essential Job Functions
- Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company.
- Sustain a daily calendar of meetings and events.
- Prepare Word, Excel, agendas, reports, special projects, and other documents in support of objectives for the organization.
- Arrange travel and accommodations for executives. Prepare expense reports.
- Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
- Ability to function well in a high-paced environment; performs additional duties as assigned by executives.
- Draft and prepare correspondence for internal announcements and organizations that the executive is involved with
- Welcome the Executive’s guests by greeting them, in person or on the phone; answering or directing inquiries.
- Use discretion, confidentiality, and good judgment to handle C-Level matters.
- Represent the company and the Executive in a positive light through great follow-through skills and sound judgment.
- Conserve the Executive's time by reading, researching, collecting and analyzing information as needed, in advance.
- Complete ad hoc projects as assigned – such as personal events and/or family needs.
- Organize complex calendars and schedules; resolving any scheduling issues
Other
- The EA will join the administrative team rotation to provide front desk coverage as needed. The expectation is that admins continue their normal work during their front-desk shifts.
- Must stay up to date with the phone system and other front desk tasks/duties.
- Perform additional assignments per the Project Management team or Executive team’s direction.

Education/Experience
- High School Diploma Required; Bachelor’s degree strongly preferred, preferably in Business Administration or Human Resources
- Experience in Construction, Engineering or Architecture is preferred Proficient with MS Excel, MS Word and project management software.
- Must be able to successfully pass a pre-employment criminal, driving and drug screen.
- Must possess a current and valid state driver’s license and a clean driving record.
Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties the employee is regularly required to make use of close vision to read engineering blueprints and reduced size black and white drawings, specifications, fine print, reports, schedules, estimates, spreadsheets, summaries and
other documents in either hard copy or computer monitor. Must be able to converse on the telephone and in person, use hands and fingers to write and type, prepare email messages with attached files and use personal computers and calculators. The employee will periodically need to lift and/or carry heavy documents such as specifications and/ or equipment, weighing up to 25 pounds.
