Position Summary
Accounts Payable Specialist I will perform a variety of accounting tasks related to the maintenance and processing of accounts payable records, invoices, and other accounts payable functions.
Required Qualifications (Knowledge, Skills, Abilities, Education, Training, and Licensure)
- Associate’s or Bachelor's degree in Accounting preferred.
- 1-2 years of Accounts Payable experience preferred.
- Proficient in accounting software and MS Office (Excel, Word, Outlook).
- Experience in Abila MIP and SAP Concur preferred.
- Strong problem solving, analytical, time management and organizational skills.
- Excellent written and verbal communications skills.
- Ability to succeed in team environment.
- Ability to adapt quickly and learn new tasks independently.
- Ability to work flexible hours when needed.
- Adherence to infection control procedures, including but not limited to, standard precautions of temperature monitoring, hand washing, symptom self-monitoring, masking and social distancing.
- Assist and support the Center/Department/Program to meet standards of High Reliability.
- Must have valid driver’s license and insurable driving record.
Essential Responsibilities and Duties
- Assists in month-end and year-end financial close process for accounts payable.
- Processes invoices using the accounts payable invoice software and physical check payments.
- Assists in check runs using the accounts payable invoice software and physical check payments.
- Assists in reconciling company credit cards using the accounts payable invoice software.
- Researches invoice problems and resolve issues with vendors.
- Processes employee reimbursements and payments using the payroll reimbursement software and physical check payments.
- Creates Electronic Requisitions (Ereq) and Purchase Orders (PO) daily.
- Performs inventory counts and petty cash audits.
- Files accounts payable documents and records.
- Assists in audit preparations and budget planning.
- Orders supplies and manage returns for the corporate administration building (133-TAH)
- Participates in the WellSpace Health wide quality assurance and quality improvement program.
- Supports initiative to adhere to infection control procedures including but not limited to standard universal precautions.
- Supports WellSpace Health initiatives and programs to meet standards of High Reliability.
- Other duties as assigned.

Physical Demands and Work Environment
The work environment is characteristic of an office environment. While performing the duties of this job, the employee is frequently required to sit; use hands to handle, or feel. The employee is also required to stand; walk; and reach with hands and arms. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus. The employee must also possess hearing and speech to communicate in person and over the phone. The noise level in the work environment is usually quiet.
The employee may be in contact with individuals and families in crisis who may be ill, using substances and/or not attentive to personal health and safety for themselves or their homes. The employee may experience a number of unpleasant sensory demands associated with the client’s use of alcohol and drugs, and the lack of personal care. The employee may also be exposed to bodily fluids (blood, urine) and hazardous chemicals.
