Receptionist/Administrator

Responsibilities

  • Meeting and greeting clients, checking them in for appointments.
  • First point of contact with clients - manage and deal with queries effectively.
  • Provide front desk reception services including handling phone calls, routing them to appropriate person, taking and distributing messages, and receiving/greeting all visitors in a professional and warm manner.
  • Manage agendas/travel arrangements/appointments etc.
  • Assist Executive Director to run conferences and events.
  • Assist in general office administration (i.e., form and documents inventory, filing, etc.)
  • Sorting, distributing, actioning post as required.
  • General upkeep of all public spaces and back office.
  • Ensuring sufficient stationary, kitchen supplies, cleaning supplies etc. in the office.
  • Carrying out any ad-hoc administrative duties.
  • General duties as assigned on a day to day basis

Qualifications/Requirements

  • A positive outlook and a friendly approach to customers and colleagues.
  • Must be fluent in English, both written and oral.
  • Knowledge and ability to use various computer programs and applications, including Microsoft Office Word, Excel, and email systems.
  • Ability to deliver strong customer service and represent the organisation in a positive and professional manner.
  • Must have previous secretarial/receptionist experience.
  • Proven ability to manage, organize, prioritize.
  • Proven ability to work on own initiative.
  • Proactive and approachable attitude at work.
  • Discreet and professional at all times, respecting confidentiality.
  • Remains calm under pressure.
  • 2 years working in an office environment.
  • Can start work immediately.

Job Types: Full-time, Permanent

Pay: From €35,000.00 per year

Experience:

  • Receptionist/Administrator: 2 years (preferred)
