Job Summary
We're seeking a highly organized, adaptable, and detail-oriented individual for the role of Executive Assistant to the CEO at 100x, a dynamic player in the music and hospitality industry. Responsibilities
- Serve as the primary point of contact for internal and external communications directed to the CEO including responding to emails and relaying messages in a timely, clear, and accurate manner
- Coordinate and manage the CEO’s schedule, including meetings, appointments, and travel arrangements, ensure that the CEO’s time is used effectively and tha all engagements are well-planned
- Monitor and organize the CEO’s inbox, filtering emails and prioritizing what needs immediate attention while maximizing productivity
- Organize and prepare for meetings, including setting agendas, compiling background information, taking meeting notes, and conducting follow-up on action items
- Plan and coordinate all business-related travel arrangements including flights, accommodations, and transportation
- Assist in preparing, editing, and organizing documents, presentations, and reports for the CEO
- Support the CEO with seamless coordination across internal teams, with a focus on the business development team, driving efficiency and collaboration for organizational success
- Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, including daily and weekly to-do tasks to ensure clarity and prioritization
- Support the CEO with various special projects and research tasks as needed which may include data analysis, report preparation, or other tasks that contribute to the executive’s objectives
Qualifications
- Bachelor’s degree required
- 2 years of related experience working in an executive assistant role supporting C-Level executives preferred but not required
- Excellent verbal and written communication skills with the ability to effectively communicate and build relationships with clients and colleagues
- Strong organizational and time management skills with the ability to manage multiple tasks and projects at the same time
- Flexibility to adapt to changing priorities and work in a fast-paced environment
- Positive, proactive and resourceful attitude with an excitement for new challenges and responsibilities
- Ability to maintain a high level of confidentiality and discretion
- Passion for the live event, hospitality, entertainment, and travel industries
- Basic proficiency in Google Workspace & Microsoft Office Suite
- Quick to adapt to new technologies and systems
- Candidates must be able to work from the Philadelphia office minimum of three days per week
