Reports to: Vice President Loan Operations
What you’ll do:
Step into an important role where you’ll collaborate closely with our loan maintenance and processing teams to ensure the highest standards of service both internally and externally. You will work alongside other team members from all across the bank to help ensure accurate and timely completion of assigned tasks and responsibilities. You will assist with the development and implementation of new or updated processes and assisting with filing, mail check-in/distribution, payment processing, general administrative support, and other duties as assigned.
Responsibilities:
Mail check-in and distribution:
· Collecting, sorting, logging, and distributing incoming mail and packages to the correct departments or individuals; preparing outgoing mail including letters, packages, and other correspondence.
· Reviewing, logging, and updating accounts for which we receive returned mail.
· Processing insurance mail to consist of reviewing coverage, updating payees amounts and notes, scanning, and escalation when necessary.
Payment processing:
· Handle the application of mailed in payments and payoffs and ensuring that all payment details are correct and valid before processing
· Work together with loan officers, and other team members to resolve payment issues and exceed servicing expectations.
· Communicate with Bank lenders and internal team members in all aspects of the loan process while following regulatory guidance, internal procedures, and loan policy.
General administrative support:
· Provide general administrative support to the loan department, including document preparation, mail, filing, data entry, etc.
· Manage and organize files, reports, and documentation to ensure easy retrieval and record-keeping.
· Filing and organizing to include maintaining physical and electronic filing systems for easy tracking and retrieval of documents.
· Scanning loan documents and files into our electronic document retrieval system.
Policy and procedure updates:
· Assist in the creation, review, and revision of loan operations administrative policies and procedures to ensure compliance with regulatory requirements and company standards.
· Collaborate with internal teams to gather input and ensure that all policies and procedures are clear, accurate, and accessible.
· Continuously monitor industry best practices and regulatory changes to incorporate necessary updates into the policies and procedures.
Special projects and initiatives:
· Participate in special projects aimed at enhancing operational efficiency, and supporting business objectives.
· Analyze current processes, identify opportunities for improvement, and implement new initiatives to optimize loan operations.
· Collaborate with cross-functional teams to ensure the successful execution of projects and initiatives within timelines and budgets.

· 2 years’ applicable work experience working within an office setting.
· Ability to work independently and remain self-motivated with minimal direct supervision.
· Keen sense of urgency, adaptability, flexibility and resourcefulness.

· Strong organizational skills and superb attention to detail.
· Excellent verbal, written and interpersonal communication skills.

· High school diploma or GED required, college graduate or some college experience preferred.
