Description
This is a part-time(10 hours a week) position that is responsible for providing administrative support and providing program stability to the Area Supervisor. The Program Assistant must be extremely detail oriented and able to collaborate with staff to be successful in this position. The person in this position must demonstrate professional conduct and respect for each client, maintaining confidentiality and high ethical standards.
Duties include, but are not limited to:
- Administrative tasks: answering phone calls, taking messages, filing, photocopying, faxing, and data entry.
- Provide weekly summary and schedule of group facilitation lists.
- Assist in new hire paperwork as well as personnel information changes.
- Ensure billing reports, timesheets, and request forms are processed, collected, and checked for accuracy in a timely manner.
- Maintain the upmost confidentiality of all agency information.
- Prepare agency folders, files, and curriculum.
- Sort incoming mail and deliver outgoing mail.
- Allocate costs of supplies, travel reimbursements, and receipts
- Interact with employees, clients, and agents in an effective manner while maintaining professional boundaries.
- Ordering office supply and materials
- Maintain and troubleshoot office equipment.
Qualifications
Education & Work Experience
- Associate degree in Human Services, Paralegal, or related field preferred.
Knowledge, Skills & Abilities
- Technologically competent with office equipment and computer programs.
- Ability to prioritize tasks and manage time to meet multiple deadlines.
- Ability to maintain the utmost confidentiality of all agency information.
- Ability to interact with staff, agents, and clients in an effective manner while maintaining professional boundaries
