POSITION SUMMARY
The basic function of the Accounts Payable Administrator is responsible for providing Financial and Administrative support to ensure effective, efficient and accurate Financial and Administrative operations. The Accounts Payable Clerk reports to the Accounting Manager
ESSENTIAL JOB FUNCTIONS
Receiving and verify Invoices for goods and services
Verify that transactions comply with Financial Policies and Procedures
Prepare batches of Invoices for Data Entry
Data Entry of Invoices to be processed for Payment
Process backup Reports after Data Entry
Manage weekly Check runs, record all Checks and prepare Vendor Checks for mailing
Maintain General Ledger
Maintain/Update Vendor files and file numbers
Ensure that the Company's Financial obligations are met in a timely and cost-efficient manner
Responsible for the maintenance in good order of all Payable and other files assigned to this function and the safekeeping of all company records including computer information
Ensures that Payable transactions are entered accurately in the Accounting software
Maintain accurate physical Vendor files and Great Plains cards
Maintain relevant Balance Sheet Accounts as they relate to company obligations, Loan balances and Security deposits
Assist other Office Personnel in answering phones as needed
Offer assistance to other Office Personnel of all duties are current and up to Company standards and expectations
Performs other duties and tasks as assigned from time to time
