Overview
We are seeking a dedicated and organized Office Administrator for our roofing company to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing administrative tasks and providing support to staff and clients. This position requires strong communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.
Duties
- Oversee daily office operations, ensuring efficiency and organization.
- Monitor and respond to daily email correspondence in a timely and professional manner." (ENGLISH AND SPANISH A MUST)
- Must engage with the sales department and project manager on the daily basis
- Prepare invoices and take payments (this included speaking with finacing companies) Handling cash and check payment
- Manage phone systems and handle incoming calls with professionalism.
- Provide customer support by addressing inquiries and resolving issues promptly.
- Assist with scheduling appointments and managing calendars for team members.
- Perform proofreading of documents (contracts, permits, etc.)
- Support office management tasks including inventory management and material ordering.
- Act as a personal assistant to staff as needed, providing administrative support.
- Maintain accurate records and files, ensuring confidentiality and compliance with company policies.
- Monday - Friday
- Weekends when needed
Experience
- Proven experience in an office administration role or similar position is preferred.
- Familiarity with office management software and phone systems is essential.
- Strong time management skills with the ability to prioritize tasks effectively.
- Bilingual candidates are encouraged to apply, as this can enhance communication with diverse clients.
- Excellent clerical skills with attention to detail in all aspects of work.
Requirements
- Bilingual – Fluent in both English and Spanish (speaking, reading, and writing) again a MUST.
- Must have roofing and permit experience
