GENERAL STATEMENT OF DUTIES:
Provides for the office organizational support, clerical support, record keeping and program staff support consistent with the policies and annual work plan of the Bradford County Conservation District.
DISTINGUISHING FEATURES OF THE CLASS:
Individual is responsible for clerical/secretarial work involving performance of a number of varied secretarial tasks, and requiring ability to take and transcribe dictation, organize records and maintain an efficient clerical support system. The work requires the exercise of judgment in the application of prescribed procedures and methods to routine matters. The position is responsible for the development of record keeping and routine clerical tasks needed to support the operations of the Conservation District Board and program staff. Employees in this class may work under close or general supervision depending upon the nature of the assignment. Position is responsible for the organization, assignment and quality oversight of clerical workload in conjunction with other part time and/or temporary secretarial support staff. This work is to be performed under the immediate supervision of the District Accounts Supervisor and Conservation District Manager.
Job Duties:
ü Takes dictation of letters, reports, board meetings, memoranda, articles and addresses relating to specialized fields of work
ü Records, organizes, writes and distributes board meeting minutes
ü Composes replies to correspondence without dictation in accordance with established procedures
ü Types accounting and statistical tables, EOC forms, correspondence, minutes, courtesy letters, reports, and similar documents
ü Maintains cross-referenced legal and office files and a variety of other records
ü Prepares and types requisitions for the purchase of supplies and equipment
ü Maintains listing of all District owned property and equipment
ü Sorts, indexes and files material according to prescribed procedures
ü Serves as a receptionist, answers telephone and provides information in response to public
inquiries
ü Operates computer terminal, adding machine or other office machines
ü Prepares a monthly, quarterly and annual reports of activities reports for the Board, State; and project sponsors as required
ü Logs permit acknowledgements and prepares appropriate notifications
ü Serves as secretary for the Agricultural Land Preservation Board
ü Distributes memoranda, reports and mail to proper area
ü Orders office supplies and other specialized material such as topographic maps
ü Compiles, layout and development of various newsletters
ü Prepares publications, mailings, etc.
ü Helps with event coordination
REQUIRED KNOWLEDGES. SKILLS AND ABILITIES:
Preferred qualifications for the position include an Associate degree or higher in business administrative or related field of study or equivalent experience (Microsoft Office applications). Working knowledge and demonstrated ability to work with computers and related software required. Good knowledge of office terminology, procedures and equipment, and of business arithmetic and English; knowledge of elementary bookkeeping; ability to take and transcribe dictation at an average rate of speed; ability to maintain complex clerical records and prepare reports from such sources; ability to make minor decisions in accordance with laws, ordinances, regulations and established policies; ability to get along well with others; clerical aptitude; good judgment; accuracy; tact and courtesy.
