Job Overview
We are seeking a detail-oriented and organized Administrative Assistant to join our team. This role is pivotal in ensuring the smooth operation of our office, providing essential support to both staff and clients. The ideal candidate will possess strong communication skills, a customer-focused attitude, and the ability to manage multiple tasks efficiently. To provide assistance to the Executive Director while facilitation of events, office staffing and support for the Visitor Center, Historical Museum and Chamber of Commerce to maintain quality growth and efficient operation.

Duties

  • · Staff the Visitor Center/Museum/Chamber office Monday-Thursday. Hours may be adjusted when necessary to attend outside Chamber meetings and events and filling in o Friday when Executive Director is out.

· Any hours worked outside of 24 hours will be PTO.

· Assist with managing daily administrative office operations.

· Maintain the Visitor Center, Museum and office so that it presents a positive image for Bridge City.

· Assist with responding to inquiries made in person or by phone, email, standard mail in a friendly informative manner. If the candidate does not have the information needed for knowledgeable reply, promptly inform board members so they can respond and or refer to the appropriate entity such as the City of Bridge City or the Orange County Economic Development Corporation (in the event of a new business inquiry).

· Assist with responding to inquiries for recommendations of area businesses, restaurants or hotels by recommending Chamber members.

· Assist with monitoring and processing the Visitor Center, Museum and Chamber’s mail, voicemail, email, website and social media.

· Assist with maintaining accurate and up to date membership records

· Assist with maintaining office filing systems, including systems for paper, electronic files, photos, event binders and other materials as needed.

· Assist with sending announcements for events and meetings via the Visitor Center and chamber’s website, social media, press releases and through networking events.

· Provide assistance and support to the Director and chamber members including communications, meeting set up, problem solving and project planning.

· Assist with monitoring and maintaining the supply of printed material available for distribution.

· Assist with monitoring and updating the Visitor Center/Museum/Chamber website calendar, membership listing, press releases, event information, award winners and current information helpful to the community at large.

· Assist with chamber programs and events

· Assist to clean and maintain the Chamber/Museum/Visitor Center and Storage Building

· Assist soliciting members to acquire gift certificates/gift cards for the monthly award winners: Students of the Month, Business of the Month and Employee of the Month.

· Prepare all certificates and award winners gift bags for Monthly Networking Coffee.

· Assist with creating and sending out press releases for award winners, events, ect as needed.

· All other duties assigned.

Requirements

· Job enthusiasm and desire to help reach the Chamber’s goal of progressive growth in trade and economy.

. Excellent verbal and written communication skills.

· Desire to maintain Bridge City history and educate museum visitors.

· Attention to details is required to maintain accurate and organized records.

· Computer skills: Microsoft Word, Excel, PowerPoint, Publisher, Constant Contact, Canva, Word Press, Quickbooks and the ability to learn new programs as needed.

· Ability to work with variety of people.

· Ability to manage and work multiple projects at one time.

· Fundraising and events management experience

· Knowledge of the Bridge City community and Orange County.
