1. General Administration
- Manage daily office operations and ensure a smooth workflow.
- Maintain office supplies inventory and reorder as needed.
- Handle incoming and outgoing mail, email correspondence, and phone calls.
- Organize and maintain office files, records, and documentation.
2. Calendar & Meeting Coordination
- Schedule and manage appointments, meetings, and travel arrangements.
- Prepare agendas, take meeting minutes, and distribute action items.
- Coordinate conference calls and virtual meetings.
3. Financial & Accounting Support
- Assist with basic bookkeeping tasks (e.g., invoicing, expense tracking, budget monitoring).
- Process and file receipts, reimbursements, and vendor payments.
- Work with accountants and financial teams on record-keeping.
4. HR & Employee Support
- Assist in employee onboarding and offboarding processes.
- Maintain personnel records and ensure compliance with company policies.
- Coordinate payroll, benefits, and time-off requests with HR or payroll providers.
5. Office Maintenance & Vendor Management
- Oversee office equipment maintenance (printers, computers, etc.).
- Manage relationships with vendors, contractors, and service providers.
- Ensure the office is clean, organized, and fully functional.
6. Communication & Client Relations
- Serve as the first point of contact for visitors, clients, and partners.
- Handle inquiries professionally and direct them to the appropriate person.
- Assist in drafting internal memos, reports, and company-wide announcements.
7. Project & Event Coordination
- Support company events, workshops, and team-building activities.
- Assist in special projects and research tasks as assigned.
- Ensure deadlines and deliverables are met efficiently.
8. Compliance & Confidentiality
- Ensure compliance with company policies and industry regulations.
- Maintain strict confidentiality regarding company and employee information.
9. Technology & IT Support
- Troubleshoot minor IT issues and coordinate with IT support when needed.
