What are the responsibilities and job description for the Administrative Assistant position at California Commercial Real Estate Services?

As California Commercial’s Administrative Assistant, every day will offer a different challenge. You will support our property management team in traditional administrative functions, as well as interact with clients and tenants. This position offers growth opportunities for motivated individuals with strong communication and organization skills.

We’re looking for an individual who has/is:

  • 1-2 years of administrative work in an office environment
  • Strong analytical, communication, and writing skills
  • Detail oriented and comfortable working in a fast-paced environment
  • Proficiency of Microsoft Office (Word, PowerPoint, Excel) and Adobe
  • Knowledge of MRI, AvidXchange, and Angus Anywhere a plus
  • Highly organized and able to prioritize multiple tasks
  • Self-motivated and able to complete work with little or no supervision
  • Able to balance long-term tasks and last-minute deadline projects
  • Professional in dress and mannerism
  • A proactive communicator who understands how to ask the right questions to get the job done
  • High school diploma/GED required (Bachelor’s degree is highly preferred)

Responsibilities Include:

  • Provide administrative support to the management team including scheduling, email management, and light accounting
  • Answer incoming calls and responding to questions/requests for information
  • Generate memos, emails, and reports for tenants, vendors, and/or client
  • Code, review, and approve invoices
  • Review and code credit card purchases and receipts
  • Coordinate with vendors and management team
  • Initiate work orders, monitor progress, and relay information to tenants as necessary
  • Maintain good rapport with tenants, vendors, and clients
  • Conduct research, create agendas, and compile printed materials in preparation for client meetings
  • Maintain or establish a system of organization for digital and hardcopy files
  • Track project schedules and communicate progress to property manager
  • Maintain office supplies by checking inventory and ordering items
  • Other receptionist duties as needed

Pay: $23.00 - $25.00 per hour

Expected hours: 40 per week
