Job Summary: We are seeking a highly organized and efficient Administrative & Payroll Coordinator to join our team. In this essential role, you will provide critical administrative and payroll support, ensuring the smooth operation of our office. Your contributions will directly support our team and facilitate a productive work environment.

Responsibilities:

  • Prepare documentation to support large shipments of water from our production facility to supermarket chains in the New England Area.
  • Maintain office supplies and equipment.
  • Handle incoming and outgoing mail and deliveries.
  • Maintain the office calendar and schedule appointments using Google Calendar.
  • Organize and maintain filing systems (both physical and digital).
  • Receive and respond to incoming phone calls and emails.
  • Provide general administrative support to members of the management team.
  • Perform data entry of outgoing and incoming shipment information into QuickBooks.
  • Process weekly payroll for 8 employees using PayChex.
  • Report hours to a temporary staffing agency to ensure accurate and timely payments to members of the temporary workforce.
  • Maintain employee payroll records, ensuring compliance with federal, state, and local payroll regulations.
  • Address employee payroll inquiries.

Qualifications:

  • Proficient knowledge of office administration procedures, payroll processing (PayChex), and QuickBooks.
  • Understanding of relevant federal, state, and local payroll regulations.
  • Knowledge of confidentiality practices and data protection.
  • Proficient knowledge of MS Office Suite and Google Calendar.
  • Exceptional organizational and time-management skills, with a focus on efficiency.
  • Accurate and efficient data entry and record-keeping skills.
  • Strong communication (written and verbal) and interpersonal skills.
  • Strong problem-solving skills.
  • Ability to maintain strict confidentiality.
  • Ability to prioritize tasks, manage multiple deadlines, and quickly adapt to interruptions.
  • Ability to work independently and efficiently in a fast-paced environment.
  • Ability to maintain accuracy and attention to detail.

Job Type: Full-time

Pay: $28.00 per hour

Expected hours: 40 per week
