Job Overview

We are seeking a dedicated Bookkeeper / Office Manager to join our collaborative team. In this role, you will facilitate essential financial processes while contributing to our mission of protecting communities from unreliable contractors through our trusted services and longstanding reputation.

Key Responsibilities

Accounts Payable

· Review and process invoices and bills for accuracy.

· Code invoices with internal information (PO and job-related).

· Submit final payables for processing and approve positive pay as needed.

· Complete credit application submissions for suppliers.

Accounts Receivable

· Generate and distribute project invoices, including AIA G701/G702 formats.

· Follow up on outstanding payments as due dates approach.

· Apply payments and generate statements as per internal procedures.

· Track mechanic’s lien timelines and coordinate filings for late payments.

· Generate and distribute change orders.

· File Notice to Owners with accounts receivables.

General Office Management

· Compile and verify payroll data for regular submissions.

· Distribute live checks as required.

· Generate and download various reports for leadership.

· File sales, use, and payroll taxes.

· Enter job costing details into appropriate systems.

· Provide certificates of insurance to relevant parties.

· Coordinate injury report submissions and contractor registrations.

· Prepare building department permit submittal packets.

Requirements

· 7 years of bookkeeping, accounts receivable, accounts payable, and general accounting experience.

· Strong attention to detail with a solid understanding of accounting principles.

· Strategic and creative thinker who can drive results in a team environment.

· Exceptional interpersonal and communication skills.

· Self-motivated team player willing to assist in various tasks.
