Job Summary
Under minimal supervision and with great expertise perform all aspects of the accounts payable function, including administrative tasks, maintaining accurate records and ensuring accurate/timely payment of invoices.,
Primary Duties and Responsibilities (*Essential Functions)
These are functions a qualified incumbent or applicant must be able to perform with or without reasonable accommodation.
- Invoice Processing:
- Verify invoices against purchase orders and receiving reports.
- Ensuring invoices are authorized and accurate.
- Data entry into accounting systems.
- Payment Processing:
- Prepare and process payments to vendors.
- Reconcile payments with vendor statements.
- Ensure payments are made on time to avoid late fees
- Maintain professional/respectful vendor relationships.
- Record Keeping:
- Maintain accurate records of invoices, payments, and vendor information.
- Organize and file financial documents as required.
- Discrepancy Resolution:
- Identify/Resolve discrepancies between invoices, purchase orders, receiving reports.
- Communicate with vendors and internal personnel to resolve issues.
Other (Non-Essential) Functions
Included functions which are normally performed by persons holding this title. However, these functions may be reassigned to other employees as part of a "Reasonable Accommodation" under the ADA.
- Assist with month-end closing procedures.
- May assist with Accounts Receivable duties in some cases.
- Other duties as assigned/required.
Physical Requirements & Environmental Conditions
- Environment is typically general office, though the incumbent may spend short periods in the manufacturing/ warehouse environments with exposure including but not limited to dust, dirt, high noise levels, and variations in temperature.
- Occasional exposure to one or more unpleasant or hazardous conditions.

Requirements:
- High School Diploma required
- A minimum of 2 years relevant/similar work experience-Open office work environment
- Strong data entry skills.
- Experience with electronic payment systems a plus
- Proficient in Microsoft Office Suite, especially Excel
- Excellent communication and collaboration skills
- Above-average aptitude and ability to interpret spreadsheets
- Strong analytical and organizational skills
- Must be able to work in a fast-paced environment
- Ability to problem-solve, prioritize, and handle a multitude of projects simultaneously
- Must be able to work with limited supervision and take initiative.
- Must be able to handle extremely confidential information; Operate with integrity.
