We are seeking an experienced Executive Assistant to provide best-in-class, dedicated administrative support to our Chief Executive Officer and Chief Financial Officer. Key duties include managing demanding, dynamic schedules, arranging domestic travel, communicating tactfully with internal leaders and external stakeholders, and preparing expense reports. This role requires supporting and taking on leadership tasks and projects as the Executive Assistant. A high standard of excellence, professionalism, flexibility, teamwork, strong organizational skills, polished communication skills, and the ability to work efficiently under pressure are all critical to this role. This role requires a minimum of 5 days in the office per week. Willingness to work while members of our Executive Office team are traveling to ensure smooth logistical experience will be required as needed.
Job Responsibilities:
- Client Support - 40% Provides a full range of administrative support to the executive. This individual must be pro-active and able to prioritize while managing a demanding, ever-changing calendar. Must provide strategic time management, understanding the nature of meetings to anticipate executive’s preparation. Plan team and cross-functional offsites through coordination with hotels and vendors for lodging, catering, flights, A/V, and transport
- Calendar Management- 40% Maintain Outlook calendar and schedule meetings for the executive. This individual must be able to effectively coordinate the Executive's schedule and all other necessary parties to ensure meetings and presentations are executed seamlessly. A strong attention to detail is required.
- Arrange Travel– 10% Arrangements travel for executives while adhering to the corporate expense and travel policies.
- Expense Management – 10% Individual must be proactive and able to prioritize while juggling ever-changing needs and a demanding production environment. Submit expenses in Paylocity for executive clients in a timely manner.
Requirements
- Bachelor's degree is preferred. 5 years’ experience supporting an executive level preferred
- Experience in the medical device industry preferred. Must be MS Office proficient: Excel, Word, PowerPoint and Outlook.
- Strong attention to detail is required
- Communication is key in this role. Excellent verbal and written communication skills are required. Requires a high level of confidentiality, diplomacy, and discretion
- Strong project management experience. You should be extremely organized and work efficiently in a very fast paced environment. You should have the ability to prioritize your work so you can handle many projects simultaneously under tight deadline, while handling an executive office with constant set of demands
- You should have excellent problem-solving skills. The ability to work independently as well as collaborate with the team. Be flexible, dependable, and results oriented. Must possess excellent customer service skills
- Must be willing to be on-call off hours, reachable by mobile phone, and travel as necessary
