The Office Administrator oversees the daily operations of the office to ensure that everything runs smoothly and efficiently. They work within the organization's guidelines, policies, and mission and will be accountable and responsible for specific projects as assigned. This position requires organization, flexibility, and emotional intelligence.

Duties and responsibilities

General

  • Oversees and administers general office operations.
  • Greets visitors, answers incoming calls, and delivers world-class service to our clients, volunteers, and donors.
  • Produces reports and composes correspondence.
  • Processes program intakes.
  • Assists in social media posts and responding to online inquiries.
  • Receives, sorts, records, and acknowledges donations.
  • Maintains the office condition and arranges necessary repairs.
  • Assists in the onboarding process for new hires.
  • Maintains a binder of current administrative procedures.
  • Manages records of company policies and procedures.
  • Manages routine facility and fleet maintenance.
  • Liaises with facility management vendors.
  • Makes daily deposits.
  • Collects, sorts, and distributes all incoming mail.
  • Keeps the office and waiting areas neat.
  • Provides database entry and backup.
  • Assists the Director of Operation with financial reporting, general bookkeeping, and data entry.
  • Assists the Director of Development with the supervision of office volunteers.
  • Assists the Director of Programs and other Directors with data assimilation and presentation.
  • Manages supply levels and reorders when necessary.
  • Maintains computers, copier and other office equipment.
  • Assists with special projects and events as assigned.
  • Assists the agency in preparation for licensing and accreditation status.
  • Attends and records CAPA board of directors, committee, and staff meetings, as assigned.
  • Collects and maintains committee and board of directors meeting minutes and attendance records.
  • Maintains organizational calendar and notifies staff and board of directors of meetings.
  • Coordinates meeting room and vehicle schedules.
  • Identifies opportunities for process and office management improvements, and design and implement new systems.
  • All other tasks required for the smooth and efficient running of the office.

Miscellaneous

  • Maintains confidentiality requirements of the agency.
  • Performs any other related duties as necessary to the agency's functioning or at the request of the Executive Director or senior management team.

Qualifications

  • Two or four year degree.
  • Minimum of two years of related job experience.
  • Ability to multi-task and prioritize duties and assignments for the betterment of the agency and its clients.
  • Creative mind with an ability to suggest improvements.
  • Excellent verbal and written skills.
  • Sound computer skills, including word processing and database management.
  • Strong organizational skills and attention to detail are vital, as is the ability to work with multiple timelines, deadlines, and project details.
  • Ability to work independently and as part of a team.
  • An understanding of the non-profit, voluntary, and social services sectors.
  • Hands-on experience with office machines.
  • Ability to climb stairs and ladders, bend, crouch, and lift 50 lbs.
  • Ability to withstand long periods of sitting and standing.
  • Must be bondable.
  • Must be 21 years or older.
  • Must be able to work flexible hours.
  • Must have access to reliable transportation, a valid driver's license, approved insurance coverage (to include being approved by CAPA's automobile insurance carrier), and a clean driving record
  • Must have no criminal record.
  • Must have no history of substantiated child abuse or neglect.

Job Type: Full-time

Pay: From $19.00 per hour
