Job Overview
We are seeking a highly organized and proactive Executive Assistant to support our Administration team. The ideal candidate will possess exceptional communication skills, a strong attention to detail, and the ability to manage multiple tasks efficiently. This role is essential in ensuring smooth operations within the office and providing high-level administrative support.
Responsibilities:
- Proactively coordinates the daily schedule, appointments and activities of the CEO and COO in reference to various onsite/offsite meetings with government agencies, external vendors, Programs, employees among other things.
- Acts as liaison with outside vendors, contractors, government agencies as it relates to business related transactions and operations of the different programs.
- Provides support and assistance to the CEO and COO in preparing, coordinating and responding to various correspondences including emails, and prioritizing, distributing and acting on mails.
- Performs general administrative activities including receiving, screening and directing incoming phone calls and visitors, taking accurate phone messages and responding to inquiries in a professional manner.
- Organizes, sets-up and schedules various online, phone or in-person meetings and writes down attendance and minutes of the meeting.
- Assists with various administrative tasks which includes but not limited to filing, photocopying, printing and organizing documents.
- Performs additional administrative functions, various projects and other duties as assigned.
Qualifications:
- Bachelor’s degree preferably in Communications or other related field
- Minimum of two years’ experience as Administrative Assistant in Social Service Industry
- Must be detail oriented and proficient in MS Office
- Ability to multi-task in a fast-paced environment
- Excellent communication (verbal and written) skills
- Strong organizational and interpersonal skills
- High level of professionalism and confidentiality

Pay: $50,000.00 - $55,000.00 per year
