Correctional Medical Managment is seeking an Administrative Assistant to be a key part of the team. The Administrative Assistant will handle essential clerical and administrative tasks to ensure a smooth and professional operation of healthcare services. The Administrative Assistant will provide support to administration, medical and mental health personnel, the corrections division and outside contacts.

- Provide clerical support to administration, medical and mental health staff through photocopying, faxing, mail distribution and filing
- Arrange and coordinate office and medical equipment maintenance and service requests
- Order, receive, track and re-stock office and medical supplies
- Reconcile invoices to orders and services rendered, then submit to administration for payment
- Re-price claims received, maintain accurate payment records and communicate with outside facilities regarding financial responsibilities and payments
- Compile and prepare statistical reports
- Scan, maintain and update various administrative files and records
- Process release of medical records requests
- Schedule services, meetings and interviews and prepare needed materials
- Record meeting minutes
- Provide quality customer service for the department both internally and externally through various forms of communication
- Responds to inquiries regarding departmental functions, services, policies and procedures
- Scheduling and coordinating all aspects of outside patient care referrals
- Assisting in account set-up and completion of paperwork for new hires
- Organize projects and assist with composing/compiling data and reports for meetings, accreditation efforts and quality improvement projects
- Update and manage calendars
- Maintain contacts lists
- Compiling information and updating various department policy manuals
- All of other duties as assigned
- Completes required orientation as directed by facility
- Follows facility and OSHA safety rules and procedures while on assignment
- Upholds HIPAA regulations
- Respects cultural and religious practices of patients
- Punctual and dependent for assigned/confirmed shifts
- High School diploma or equivalent
- Associates or Bachelor’s Degree preferred
- Excellent verbal and written communication skills
- Excellent organizational skills and attention to detail
- Excellent time management skills
- Strong analytical and problem-solving skills
- Ability to prioritize tasks
- Prolonged periods of sitting at a desk and working on a computer
- Prolonged periods of standing, bending, and reaching
