What are the responsibilities and job description for the Office Assistant position at Cove Communities?

Primary Duties & Responsibilities

  • High resident-facing role lead and handles all resident relations. Actively seeks opportunities to create goodwill amongst all residents and add value to the living experience through each personal interaction.
  • Respond quickly and effectively to resident and guest inquiries, through email, phone and in-person communication.
  • Property management coordination: leasing and occupancy management, financial reporting, and adherence to community policies and regulations.
  • Coordinates and works alongside our Cove team and resident activity ambassadors to create fun and inclusive activities and entertainment programs that our residents bring forward and our Cove team sponsors
  • Collect and ensure deposit of all monthly base and MH rent via ACH deposit and check.
  • Assists in performing regular property and site inspections in the Community, as well as follow-up, documentation and uploading of reports
  • Works alongside the Community Manager to develop and maintain effective communications and processes across the entire Corporate Office, to include Construction and Real Estate, Accounting and Finance, Legal and Risk Management, Sales and Marketing, Maintenance and Sustainability, and Vendor Management
  • Review and submit invoices from vendors, contractors, and service providers for payment by reconciling work performed or products purchased, obtaining Community Manager approval, code charges to appropriate charts of account codes, and manage communication between vendors and our corporate office team.
  • Act in support of and as the voice of the Community Manager in his or her absence
  • Maintaining a mastery of Florida Statutes that govern mobile home and manufactured housing communities in Florida, as well as ensuring the Community prospectus is adhered to.
  • Creating, modifying or editing property management forms, leases, notices and resident communications
  • Primary point of contact for inbound calls from residents, guests, vendors, municipality staff and remote employees
  • Move ins/outs and rent collection
  • Other assigned duties from the Community Manager

 Required Skills/Abilities:

  • Excellent communication skills both written and verbal, with the ability to build effective long-term relationships with both residents and employees.
  • Ability to prioritize, effective time management, and organizational skills.
  • Strongly demonstrates ability to multi-task in a fast-paced environment while maintaining a high level of accuracy and attention to detail.
  • Adaptable and resourceful self-starter with a positive, can-do attitude.
  • Takes direction well
  • Physical requirements: Must be able to withstand long periods of time walking and/or standing inside and outside in heat and cold

 

Education and Experience

  • High school diploma or equivalent.
  • Experience in property management, real estate and/or transaction coordinator experience preferred.
  • Proficiency in Microsoft Office and Office 365 required
  • Proficiency with Canva, Photoshop Content Management Systems, Yardi, NetSuite, Manage America, lease management software, property management software, Salesforce applications highly desirable
