We are seeking a Front Desk Receptionist with a minimum of 3 years of customer service experience in a medical setting, emphasizing a strong foundation in empathy, to oversee our front desk operations daily. In this role, you will engage in various administrative and clerical tasks, serving as the initial point of contact for our office. Your responsibilities will include providing empathetic administrative support across the office, warmly greeting and checking in patients, coordinating front-desk activities such as distributing correspondence and handling phone calls, scheduling appointments, collecting and verifying patient information, managing insurance documentation, overseeing front-desk operations, processing payments, scanning and filing patient records, and ensuring proper inventory maintenance. The ability to multitask and manage stress effectively is crucial for success in this position.
- Responsible for entering instructions needed for scheduling in the electronic medical record
- Answer telephone calls promptly to establish or confirm appointments
- Responsible for the scheduling of patient appointments for well and sick visits, follow-ups and patient recalls
- Accountable for collecting existing and new patient insurance information for insurance verification purposes
- Provide support in maintaining and updating patient medical records
- Responsible for entering data into the electronic medical record system, as well as maintaining the integrity and accuracy of the data
- Carry out recall phone calls and confirm appointment times with patients via telephone
- Responsible for check-in and check-out of patients
- Ensure suitable follow-up appointments are scheduled
- Provide support to other members of the practice as needed.
- Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures)
- Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing
Skills
- Proven work experience as a Receptionist, Front Office Representative or similar role with at least 3 years of medical setting experience
- 3 years of Customer service experience
- Proficiency in Microsoft Office Suite
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
- Bilingual (Spanish) is a plus
- Bachelor's degree; additional certification in Office Management is a plus
