Job Title: Executive Assistant
We are currently seeking a highly organized and proactive Executive Assistant to support our small business in managing administrative tasks and providing high-level support to our executive team. The ideal candidate will be a detail-oriented individual with excellent communication and technical skills and the ability to prioritize tasks effectively in a fast-paced environment.
Responsibilities:
- Manage executive team's calendars, scheduling meetings, and coordinating appointments
- Handle incoming and outgoing communications, including phone calls and emails
- Support front desk operations, including greeting visitors and managing office supplies.
- Perform clerical duties such as data entry, document preparation, and maintaining records.
- Prepare and organize documents, reports, and presentations for meetings
- Provide customer service support by addressing client needs and inquiries promptly.
- Assist in accounting tasks using Concur.
- Assist executives with scheduling and notetaking of 1-1’s with direct reports
- Prepare for weekly Leadership Meetings by updating notes and to do’s and preparing the conference room technology.
- Work with travel consultant to arrange travel for team members
- Assist with planning and executing company events and meetings
- Maintain confidential information and handle sensitive material with discretion
- Act as a liaison between executive team and staff, clients, and external partners
- Handle special projects as assigned by executives
Qualifications:
- Proven experience working as an executive assistant or in a similar role
- Excellent organizational and time management skills
- Strong written and verbal communication skills
- Proficiency in Microsoft Office suite and other relevant software programs
- Ability to multitask and prioritize tasks effectively
- Discretion and professionalism when handling confidential information
- Bachelor's degree in business administration or related field is preferred
