Overview
We are seeking a friendly and organized Front Desk Receptionist to be the first point of contact for our clients and visitors. This role is essential in creating a welcoming atmosphere in which customers were just involved in a traumatic incident while efficiently managing front desk operations. The ideal candidate will possess strong communication skills, excellent time management abilities, and a proactive approach to problem-solving.
Responsibilities
- Greet and assist clients and visitors as they arrive, ensuring a positive first impression.
- Manage incoming phone calls, directing them to the appropriate personnel or taking messages when necessary.
- Schedule appointments and maintain the front desk calendar to optimize office efficiency.
- Handle administrative tasks such as filing, data entry, and maintaining office supplies.
- Ensure the front desk area is clean, organized, and professional at all times.
- Assist customers in filing claims to the insurance in regards to accidents and gather the data needed to start the repair process of their vehicle.
- Collaborate with team members to support overall office operations.
Skills
- Strong time management skills to prioritize tasks effectively.
- Experience in front desk operations or similar roles is preferred.
- Proficiency in phone systems for efficient communication.
- Previous experience as a collision repair receptionist or situations where you were working with insurance companies as a receptionist is advantageous.
- Familiarity with windows applications for document management and communication.
- Office management skills to maintain an organized workspace.
- Bilingual abilities in Spanish are a plus, enhancing communication with diverse clientele.
- Excellent interpersonal skills to foster positive relationships with clients and colleagues.
