About the Role:
We are seeking a highly organized, proactive, and adaptable Personal Assistant to support a busy and forward-thinking CEO. This is a dynamic role where you will be handling a combination of personal and professional responsibilities, ensuring the CEO’s day-to-day life runs smoothly. You will be instrumental in managing his schedule, travel, communications, household duties, and various projects. The ideal candidate will be resourceful, detail-oriented, and able to anticipate needs before they arise.
Key Responsibilities:
- Calendar Management: Schedule meetings, appointments, and events with precision, ensuring the CEO’s time is managed effectively.
- Travel Arrangements: Coordinate both commercial and private flight bookings, hotel accommodations, and travel logistics.
- Communication Management: Screen and manage emails, phone calls, and other communications, ensuring urgent matters are prioritized.
- Meeting Coordination: Organize and manage both business and personal meetings, ensuring all details are taken care of.
- Document Preparation: Draft, proofread, and prepare documents as needed for meetings and projects.
- Gatekeeping: Act as the primary point of contact for all inquiries, handling requests professionally and efficiently.
- Event/Meeting Planning: Assist in organizing and planning events, from small gatherings to larger, high-profile meetings.
- Expense Management: Track and report on personal and business-related expenses.
- Problem Solving: Provide proactive solutions to challenges that arise both in business and personal matters.
- Household and Personal Support: Manage personal household duties and assist with the CEO’s personal needs, including automobile management and personal care.
Qualifications & Experience:
- Exceptional verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proven experience in providing high-level administrative support to senior executives or entrepreneurs.
- Previous experience managing complex schedules and coordinating travel.
- Ability to prioritize and manage competing demands with a calm and solutions-oriented approach.
- High level of discretion and confidentiality with sensitive information.
- Strong initiative and the ability to work independently while anticipating the needs of the CEO.
- Comfortable with both business-related tasks and personal duties as required.
- 5 years of experience providing high-level support to C-suite executives, specifically as a Personal Assistant to a CEO or in a similar senior-level support role
