Job Summary:
We are seeking a highly organized and detail-oriented individual to join our team. This specialist will be responsible for coordinating and managing reservations, scheduling appointments, and ensuring smooth booking processes for clients. This role requires excellent communication skills, the ability to multitask, and a strong focus on customer satisfaction and sales.
Key Responsibilities:
- Manage Reservations: Handle all incoming booking requests through phone, email, or online platforms, ensuring accuracy and efficiency.
- Scheduling: Coordinate, schedule and invoicing/processing payments of parties, meetings, or events, making adjustments as needed to meet client needs.
- Customer Service: Provide exceptional customer service by promptly responding to inquiries, confirming bookings, and addressing any changes or cancellations.
- Database Management: Maintain and update booking systems and client records, ensuring accurate and up-to-date information is recorded.
- Follow-up: Communicate with clients before and after bookings to ensure all details are correct and provide follow-up assistance if required.
- Problem-Solving: Address any issues or conflicts that arise with bookings and work to resolve them in a timely manner.
- Event Development: Actively participate in brainstorming and developing new event concepts based on market trends, client needs, and business objectives. Provide input on how to attract more clients through innovative event offerings and enhanced booking processes.
- Event Execution Support: Collaborate with the events team to ensure bookings are executed seamlessly, supporting the logistical planning and on-site event coordination as needed.
- Team Collaboration: Work closely with other departments (such as sales, operations, or customer service) to ensure a seamless booking experience.
- Reporting: Generate regular reports on bookings, cancellations, and other key metrics for management.
Qualifications:
- Education: High school diploma or equivalent (required); Associate or Bachelor’s degree in (required).
- Experience: Previous experience in booking, scheduling, sales or a related field (1-2 years preferred).
- Skills: Ability to work flexible hours if necessary, depending on the nature of the events.
- Strong organizational and time-management skills.
- Excellent written and verbal communication.
- Proficiency in booking software, CRM systems, and Microsoft Office Suite.
- Ability to handle multiple tasks and prioritize effectively.
- Customer-focused mindset with problem-solving and sales abilities.
