Founded in 1972, Five Towns College is a private, coeducational, non-sectarian institution of higher education. The College serves the cause of music, media, and the performing arts. Job Description:
Reporting to the Registrar, the Assistant Registrar is responsible for assisting the College Registrar with oversight for all activities related to student information and registration functions including records security, academic integrity, and accuracy of academic records and student information. The Assistant Registrar will assist in the maintenance of electronic and hard copy student records, the processing of transcripts, enforcing institutional residency requirements, maintaining the course inventory, and the development of demand- and data-driven course schedules. The incumbent will also assist in the formulation, interpretation, and implementation of policies relating to the maintenance of student records, registration of all students enrolled in the College, developing the academic calendar, archive services, athletic eligibility certification, commencement preparation, degree audit, diploma services, document management, enrollment verification, grading (grade changes), withdrawal services, imaging and workflow, updating the course catalog, transcript release services, transfer credit processing, and reporting. The Assistant Registrar must be capable of professionally communicating with various key internal and external stakeholders, including but not limited to parents, students, auditors, and state and federal agencies.
Responsibilities include:
- Developing policies and procedures ensuring the accuracy and security of student data
· Overseeing the maintenance and security of all student records
- Assisting the Registrar with end-of-term processing in Campus Cafe
- Facilitating enrollment, registration, graduation, and degree conferral
· Assisting with student concerns and questions regarding registration and degree completion
· Evaluating transfer credit and generating reports
· Processing course substitutions, course waivers, prior learning credit, credit by exam, and academic amnesty requests
· Processing course registrations, grade changes, and graduation applications
- Working closely with Academic Affairs to ensure effective scheduling and communication of program information, including the development of the academic calendar and college catalog
- Maintaining accurate course schedules, catalogs, and academic calendars
- Working with the Director of Enrollment Services, maintaining and updating dual enrollment and articulation agreements with other institutions.
- Managing system operations regarding attendance, grading, academic standing, account adjustments, term activations, and communications
- Analyzing current and future needs by developing technical requirements for current or proposed systems and evaluating potential designs for feasibility and cost effectiveness
- Maintaining student records in the Campus Café SIS system and hard copy files
- Developing reports and submitting data requests of internal and external constituencies
- Ensuring compliance with all state regulations, federal laws and regulations (FERPA), and record keeping/data collection
- Coordinating and assisting with graduation ceremonies, certifying all student record documents related to degree completion, and producing diplomas
- Chairing the Commencement Committee and serving on other academic committees
- Collaborating with other departments/divisions to carry out the philosophy of a student-centered institution
- Pursuing professional development opportunities related to Registrar Office responsibilities, especially as it relates to compliance and technology;
- All other duties, as assigned.
Required Qualifications:
- Bachelor’s degree in higher education, educational technology, or other relevant discipline required
- 2-3 years of experience in a registrar/student services functional capacity within a higher education institution
- Ability to think critically, strategically, and creatively about the academic records process
- Strong organizational and customer service skills
- Strong interpersonal communication with a demonstrated ability to establish and develop productive and collegial relationships with college constituencies
- Exceptional organizational and time management with demonstrated ability to plan, coordinate, prioritize, and effectively execute multiple initiatives, programs, and events, while meeting established deadlines
- Ability to work with confidential and sensitive information and records
- Experience working with databases and/or information systems
- Computer skills in Microsoft Office
