Days/Hours: Variable Schedule – Must be able to work daytime, evening, and overnight hours, including weekends and holidays for show and department needs.
Position Type: Full-Time, Exempt (Salary)
The Fox Theatre in Atlanta is seeking a qualified candidate for the position of Assistant Production Manager.
The Assistant Production Manager assists in management of all aspects of production- related needs for events in the theatre, ensuring a safe and enjoyable guest experience for all internal and external guests. This includes but is not limited to assisting in management of communication and needs of artists, promoters, and clients; maintenance of the stage, production operations and house equipment; assigned assistance of capital project investments and oversight, and management of the union contract. The Assistant Production Manager achieves this through the effective and coordinated management of the non-union Production department, the union house crew, union crews for events, and other clients, vendors, and partners.
Major Responsibilities:
  • Advance of the shows as assigned; Average of 10-25% of the shows scheduled. This includes but is not limited to, phone, email, ordering and generating paperwork necessary to the advance of the show arrival. Determine building and production needs, requirements, schedules and estimates.
  • Produce accurate show settlement paperwork and records. Communicate with teams on settlement.
  • Oversee and complete all necessary show invoicing and payment.
  • Event day management of all shows advanced by the APM. This includes but is not limited to organizing, communicating, and managing requests & needs of visiting productions and working to ensure that they are satisfied and that the Fox staff stays informed of their needs.
  • Assist/ lead the technical oversight of the ballroom equipment, lobby sound, club AV and other building spaces as assigned. This will require hands on technical theatre knowledge and application.
  • Assist in the management, advance, and onsite supervision of external building events as assigned. Shift coverage of events and load outs advanced by the PM / DP or the APM shows.
  • Assist in the management of the Union staff by overseeing their schedules, breaks, cuts, comings & goings, and their concerns by communicating with the House Crew, Union leadership, visiting productions, fellow PM's. Generating the paperwork to track the same.
  • Continual understanding, communication, management of the union contracts (3).
  • Generate accurate payroll records for the Unions (3) in accordance with the Union contracts and work rules.
  • Assist department leadership in the management of the stage and stage operations when it comes to maintenance of house equipment, service contracts, and determining work calls. On assigned projects, work with vendors and follow through to completion of projects.
  • Day-to-day maintenance of the stage and backstage spaces. Maintain a clean and safe work place for all union crew, shows, vendors, and others.
  • Act as a lead administrative manager of the Production department.
    • Prepare show-related paperwork such as sign in sheets, drafts of Payroll, union forms needed for load-in/out, and advance paperwork as assigned.
    • Assist in preparation and maintenance of stage employee payroll.
    • Manage incoming paperwork and communications including scanning, copying, filing, and distribution to other departments.
    • Order and maintain office supplies, first aid supplies, stage supplies and other general orders at the request of the Directory of Production and Production Manager.
    • Manage multiple calendars and distribute calendars and schedules to other departments
    • Process and create check requests, reconcile petty cash, credit card receipts, and overall budget log maintenance.
    • Update and maintain office documents, filing system and organizational binder.
  • Continuously communicate with the production team, union leadership, union staff, and Fox staff on all matters connected with the Production department and shows. Communication will be written (emails and event paper work) and verbal and should be comprehensive.
  • Other duties as directed.
Knowledge, Skills, & Qualifications:
  • Must have degree in Technical Theatre, Stage Management, or Production Management plus 2 years of experience in the field (of theatre or venue management).
  • OR may have 5 years of experience in related fields of Production management, Stage Management, Tour management, or Venue production roles in lieu of degree.
  • Must demonstrate knowledge/experience in industry terminology and technical theatre.
  • Must demonstrate knowledge and understanding of theatrical rigging, lighting, sound, and carpentry for all genres of theatrical and concert production needs.
  • Must demonstrate knowledge and understanding of event coordination and entertainment production management.
  • Must have working understanding of theatre and entertainment environment.
  • Must possess good client management and strong communication skills for customer service and vendor relationships. This person should be a "people person".
  • Must demonstrate office and project management skills.
  • Must have experience in production paperwork and communication techniques.
  • Must possess computer skills with proficiency in Microsoft Office applications including Word, Outlook, and Excel.
  • Must demonstrate strong attention to detail.
  • Must be able to work with or without supervision, prioritize tasks, and handle multiple projects and tasks simultaneously.
  • Must be able to follow through and complete projects without reminders and supervision Must possess strong multi-tasking abilities.
  • Must be able to exercise judgment and initiative in addressing complaints and resolving problems. Must be able to maintain a "cool head".
  • Must have excellent communication skills for managing various types of people, conveying information and needs, and working with other management.
  • Must have exceptional written and verbal communication skills.
  • Must be able to work in a fast pace and continuously changing environment.
  • Ideal candidates will have the following qualities: flexibility, patience, self-motivation, ability to multi- task, good stamina, ability to think in terms of details as well as the “big picture”, team player.
Essential Physical Requirements:
  • Regular periods during which there is continuous physical exertion required. Must be able to traverse the building including moving between multiple floors.
  • Must be able to ascend/descend a ladder and traverse high walkways or elevated work surfaces. Must be able to lift materials or equipment up to 50 pounds.
  • Must be able to communicate on a two-way-radio.
Other Requirements:
  • Must be able to work inconsistent hours and schedule including possibility of long shifts or quick turnaround between shifts.
  • Must be willing to work day shift, night shift, weekends, and holidays, including overnight as needed. This position will require the ability to accept phone and email communications when off duty, as necessary.
