Job Summary:
To provide administrative assistance to the offices of Graduate Studies and the Center for Innovative Leadership for daily office needs, student support, admissions, recruitment, and project management.
Job Description:
Responsibilities:
This position is a full-time position, split evenly between two co-located departments. The position responsibilities are listed here in the two halves: Graduate Studies and the Center for Innovative Leadership. This includes managing calendars and schedules, preparing correspondence and reports, coordinating events and meetings, and managing office operations. The Administrative Assistant will work closely with the directors of both offices and other stakeholders to ensure efficient and effective office operations and student support.
Graduate Studies

Supports the Office of Graduate Studies with clerical and project management tasks including but not limited to:
- Graduate Catalog maintenance
- Graduate Council communication and meeting agendas/minutes
- Graduate Studies marketing materials
- Graduate Studies webpage maintenance (including updates to faculty profiles, graduate program information, and other items).
- File maintenance for SACSCOC and other accreditation needs
- Donor and development campaigns
- Syllabus libraries for each graduate program
- Serves as the primary administrative assistant to support enrollment services, marketing, and admissions staff in the office of graduate studies.
- Functions as a primary point of contact for prospective and current students, and program alumni.
- Utilizes Slate system to manage and track contacts with prospective students.
- Serves in an executive assistant function for the senior administrator for graduate programs.
- Acts as liaison with other offices on campus as needed (registrar, admissions, university communications, academic departments, provost's office, dean's office).
- Supports revenue generation goals as set by the finance office and academic affairs.
- Engages in professional development in service of our graduate student population.
- Other duties as assigned.
Center for Innovative Leadership

Supports the Center for Innovative Leadership with clerical and project management tasks including but not limited to:
- Online program catalog maintenance
- Online course maintenance in Moodle
- Corporate Advisory Council communication and meeting agendas/minutes
- Center for Innovative Leadership marketing materials
- Center for Innovative Leadership webpage maintenance (including updates to program information, center affiliates, and other items).
- Serves as the primary administrative assistant to support the Center for Innovative Leadership.
- Functions as a first point of contact for prospective and current students, corporate clients, and program alumni.
- Utilizes Hubspot system to manage and track contacts with prospective students and corporate clients.
- Serves in an executive assistant function for the Executive Director, Leadership and Professional Education.
- Acts as liaison with other offices on campus as needed.
- Supports revenue generation goals as set by the finance office and academic affairs.
- Other duties as assigned.

Tasks involve multiple procedures with interrelated processes or steps. Work involves choosing the appropriate option to follow and applying established rules, processes, and procedures.

Interim Assistant Provost for Graduate Program Initiatives (1/2) and Center for Innovative Leadership (1/2)
Education/Skill Requirements:
- Bachelor's degree
- 2-5 years experience in higher education, experience with academic programs preferred.
- Knowledge of operating systems including MS Office required, experience with Slate, HubSpot, Moodle, and content creation/distribution programs preferred.
Work conditions:
Work is performed under typical office conditions. Some work functions may be performed remotely when approved.
