JOB SUMMARY:
The Accounting Specialist provides critical support to the agency’s Finance Office to ensure full compliance with agency and contractual fiscal requirements. This position is also responsible for the agency’s accounts receivable and maintaining accurate financial records for the organization. This includes reviewing fiscal documents and providing support to staff to accurately process parent invoices.
DUTIES AND RESPONSIBILITIES
- Processes accounts payable, check preparation, general ledger data input and invoicing.
- Processes accounts receivable for parent invoicing.
- Prepares weekly deposits and enters them in the accounting software system.
- Reviews documentation for ISBE and CCAP applications by performing quarterly audits of binders at each site.
- Conducts monthly meetings with Youth Enrollment Specialist and ERSEA Subsidy and Childcare Specialist to follow up on pending childcare cases and past due balances.
- Reviews agency in-kind report and submits to Senior Accountant.
- Creates the cash balance report on a daily basis and uploads CSV document to the agency’s online bank account.
- Reviews vouchers/invoices submitted by partner sites for accuracy and processes check requests.
- Enters credit card transactions in the accounting software system on a semi-monthly basis.
- Prepares and submits CACFP and CACAP vouchers for reimbursement.
- Meets with the Development Department on a monthly basis to reconcile donation data between Donor Perfect and FundEz.
- Files and maintains accounting documents, records and reports.
In addition to the responsibilities listed above, all Gads Hill Center employees are responsible for the following:
- Participating in agency outreach and recruitment events, including evenings and weekends.
- Participating in supervision meetings and workshops within the agency and outside (if applicable).
- Participating in civic engagement activities that advance the mission of Gads Hill Center.
- Advancing parent leadership development.
- Performing other duties as assigned.
QUALIFICATIONS:
- Associate’s Degree required. Bachelor’s Degree in Accounting, Finance, or equivalent preferred.
- Strong computer skills including Microsoft Word, Excel, and Outlook.
- Previous finance or accounting experience required.
- Excellent written, verbal and interpersonal communication skills.
- Solid analytical, problem-solving and organizational skills.
- Ability to translate financial concepts to colleagues who do not necessarily have finance background.
- Ability to pass a criminal record and child abuse/neglect registry check.
- A passion for the mission of Gads Hill Center.
