Assistant Treatment Coordinator – Oral Surgery Office

Key Responsibilities:
Patient Interaction & Treatment Coordination
Serve as the primary point of contact for patients, ensuring a warm and professional
experience.
Present treatment plans, financial options, and schedule treatment appointments.
Secure referral slips and X-rays in advance to ensure a seamless consultation experience.
Follow up with patients regarding treatment acceptance, financial arrangements, and
scheduling.
Maintain open communication with referring dentists, providing updates and post-
treatment letters.
Coordinate external training as needed to support practice growth and staff development.
Engage with patients and families to build relationships and ensure a high level of patient
satisfaction.
Insurance & Administrative Support
Verify insurance benefits, obtain pre-authorizations, and communicate coverage details to
patients.
Assist in tracking treatment acceptance rates, including routine follow-ups with
undecided patients.
Maintain an updated database of patients in treatment, tracking progress and following up
on incomplete care plans.
Collaborate with other team members to enhance patient experience and streamline
practice operations.
Practice Performance & Team Collaboration
Work closely with doctors, office managers, and consultants to implement best practices
and improve workflow.
Monitor practice systems weekly to ensure optimal performance and identify areas for
improvement.
Participate in marketing efforts to strengthen referral relationships and drive practice
growth.
Provide regular updates on treatment acceptance rates and implant case progress.
Assist with administrative and scheduling tasks as needed.
Qualifications & Skills:
3 years of experience in an administrative or clinical role within a dental/medical
practice.
Strong communication and relationship-building skills.
Experience presenting treatment plans and discussing financial options.
Knowledge of dental insurance processes, pre-authorizations, and treatment planning.
Ability to multitask, stay organized, and work efficiently in a fast-paced environment.
Proficiency in dental software and Microsoft Office Suite.
