The Grand Rapids Downtown Market is seeking an Event Coordinator to join our private events team!
The Event Coordinator is primarily focused on managing the details and onsite coordination for assigned private events at the Downtown Market, while providing excellent customer service & sales support to all clients. The Event Coordinator will contribute to the sales qualification, relationship building, quoting, and closing process for inside sales opportunities.
Our ideal Event Coordinator will have the following education and experience:
- Associate Degree in Business, Hospitality or related field required
- 2 years experience in event planning, logistics and execution required
- Salesforce experience preferred
- Social Tables experience preferred

These are the General Responsibilities for the Event Coordinator role (including, but not limited to):
- Manage onsite event execution for assigned private events
- Coordinate logistics and communication with clients pre, day-of, and post-event
- Act as liaison between private event staff and facilities staff as it relates to event execution
- Ensure effective planning and communications between appropriate Market departments
- Act as liaison between client and other event vendors
- Create detailed event notes and post-event evaluations
- Responsible for upholding policies and procedures in the facility during events
- Event calendar management and general administrative support
- Update promotional materials as needed
- Assist in execution of approved strategies and promotions to increase event rental sales
- Establish and manage an assigned client base to ensure that sales expectations are met or exceeded
- Facilitate one-on-one prospective client tours of private event spaces
- Qualify leads and generate new sales opportunities
- Establish and maintain positive customer relationships
- Maintain and update physical and electronic (CRM - Salesforce) client and event files
- Oversee client related correspondence and conduct follow ups in a timely manner
- Assistance and onsite coordination of Market hosted events on an as-needed basis
Working Conditions
- Team members will work in a fast-paced office environment requiring frequent collaboration across departments
- Team members will work both inside and outside areas of the market, where the noise level and temperature may change
- Team members may be exposed to inclement weather; pollen, mold, dust, dirt, grease, and other airborne contaminants; and temperature variations
- Team members will perform frequent computer-related activities
- Team members must occasionally lift and/or move up to 30 pounds
- While performing the duties of this job, team members are regularly required to stand, walk, use hands, and bend to precisely manipulate tools and equipment
- Team members must possess the ability to stand and walk for prolonged periods of time, with or without accommodation
- Team members must possess the ability to tolerate exposure to extreme hot and cold outdoor temperatures
- Team members must have sufficient mobility with or without assistive devices to access all outdoor and indoor areas of the market
