Who we want… (Requirements)

The successful candidate will have experience in an administrative or accounting related position(s), minimum 3 years or 2 year Associates Degree; or the equivalent combination of both. Experience in construction or engineering firm is preferred. Must possess advanced computer skills including the ability to utilize Microsoft Word, Excel, and e-mail. Experience with Textura, CMiC and/or ProCore is a plus. The selected candidate will have excellent communication skills, relentless attention to detail, and be analytical.

What we expect… (Essential Functions)

  • Under the direction of the Executive Vice President or his designee, this position will provide administrative support to the construction group, by performing the following duties:
  • Reads and routes incoming mail/e-mail. Locates and attaches appropriate file to correspondence to be answered by Manager.
  • Generates cost reports and gathers all backup information to be submitted to customers to support the billing process.
  • Organizes and maintains file system including files correspondence and other records electronically
  • Meet time sensitive deadlines with accuracy while maintaining a high degree of customer service.
  • Primary functions will be to assist with the overall invoicing process submitted to our customers and maintaining multiple files related to that process.
    • This will include data entry to assist multiple projects in multiple locations
  • Validate accurate and consistent data is being entered into various systems
  • Update Schedule of Values
  • Assist subcontractors in billings each month
  • Work with customer and their quantity surveyor monthly on all invoice submissions
  • Performs other related duties as assigned.

While performing the duties of this position, the team member is frequently required to stand, walk, sit, use hands, reach with hands or arms and talk or hear. They may occasionally be required to climb or balance, stoop, kneel, or crouch. Must occasionally lift and/or move up to 50 pounds.

Normal office environment where noise level is moderate and temperature/humidity is controlled. Overtime may be required.


Supervisory Responsibilities

This position has no supervisory responsibilities.
