Position Title: Administrative Assistant
Location: Hannah’s House 119- 408 9th St SW, Canton, OH
Reports to: Executive Director
Salary Range: $15-$17/hour
Organization Overview:
Hannah’s House 119 is a mission-driven non-profit organization dedicated to mentoring young women of Stark and Carroll counties to help them build their social and emotional assets, encouraging them to rise above their circumstances. We are looking for a dedicated and detail-oriented Administrative Assistant to join our team. The Administrative Assistant will play a crucial role in supporting the daily operations of our organization and ensuring smooth communication across teams.
Position Overview:
The Administrative Assistant will provide essential administrative and clerical support to ensure the efficient functioning of the office. The ideal candidate is a highly organized, self-motivated, and reliable individual with a passion for the non-profit sector and a commitment to the organization's mission.
Key Responsibilities:
Administrative Skills:
- Strong organizational and time-management abilities.
- Excellent verbal and written communication skills.
- Ability to handle confidential information with discretion.
- Skilled in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Google Workspace.
- Ability to manage emails, schedules, and office logistics.
- Comfortable working with volunteers, donors, and board members.
- Maintain and update the organization’s calendar and filing systems.
Data Management:
- Maintain accurate records of office documents, contracts, and correspondence.
- Assist in data entry and database management, ensuring that all records are up-to-date.
- Assist with tracking donations and other financial records in collaboration with the marketing director.
Communication & Outreach:
- Draft and proofread internal and external communications, including newsletters and social media updates.
- Help with outreach activities, including preparing materials for community partners and internal training sessions.
Other Duties as Assigned:
- Assist with special projects and tasks as needed.
- Provide support to other departments within the organization.
Qualifications:
Education & Experience:
- Associate’s or Bachelor’s degree in business administration, accounting, finance, or a related field preferred.
- At least 3-5 years of experience in administrative support and/or financial management.
- Experience in nonprofit financial management is a plus.
Financial & Accounting Skills
- Experience with QuickBooks
- Understanding of nonprofit accounting principles and financial reporting.
- Ability to manage payroll, budgeting, and expense tracking.
- Knowledge of accounts payable, accounts receivable, and reconciliations.
- Ability to prepare financial reports for board meetings and staff.
- Experience handling donor contributions and grant tracking is a plus.

Working Conditions:
- M-F 9:00am - 3:00pm
- In office
- Occasional evening or weekend hours may be required for events or meetings.
