Position Overview
Helena Motors is seeking a detail-oriented and organized Accounts Payable Specialist to manage and process financial transactions accurately and efficiently. This role ensures all vendor invoices and payments are handled in a timely, accurate, and professional manner while adhering to company policies and procedures.
Key Responsibilities
- Invoice Processing:
- Receive, review, and verify invoices for accuracy and proper authorization.
- Enter and process invoices into the accounting system.
- Reconcile discrepancies between purchase orders, invoices, and receipts.
- Payment Management:
- Prepare and execute payments, including checks, ACH, and wire transfers.
- Ensure timely payment of invoices to maintain vendor relationships and avoid late fees.
- Reconciliation and Reporting:
- Perform monthly reconciliations of accounts payable ledger to ensure accuracy.
- Assist in preparing financial reports related to accounts payable activities.
- Vendor Relations:
- Communicate with vendors to resolve payment issues or discrepancies.
- Maintain accurate vendor records and ensure compliance with W-9 requirements.
- Compliance and Documentation:
- Ensure compliance with company policies, tax regulations, and internal controls.
- Maintain organized and up-to-date records of all accounts payable transactions.
Qualifications
- High school diploma or equivalent required; associate’s or bachelor’s degree in accounting, finance, or a related field preferred.
- Proven experience in accounts payable or a related financial role.
- Proficiency in accounting software and Microsoft Office, particularly Excel.
- Strong attention to detail and organizational skills.
- Excellent communication and problem-solving abilities.
- Ability to work independently and collaboratively in a team environment.
