Summary
We are seeking a Bilingual Receptionist to join our team at Helping People Succeed, Inc. This role is essential in providing exceptional customer service and administrative support, ensuring smooth operations within our organization. Your bilingual skills will enhance communication with our diverse clientele and contribute to our mission of community support.
Responsibilities:
- Serve as the first point of contact for all visitors to the agency, creating a warm, welcoming, and friendly environment.
- Never leave the reception area unattended.
- Change voicemail as needed for Holidays with the Systems Administrator.
- Coordinate front desk coverage when absent.
- Assist the medical receptionist when needed.
- Maintain and update Front Desk Procedure Manual.
- Serve as intake referral specialist for all agency Spanish speaking callers seeking services across programs.
- Serve as point of contact for Spanish translation/interpretation needs of the agency.
- Check and distribute mail.
- Receive and communicate all deliveries to the office.
- Check the agency’s main email inbox, forward messages to proper parties, respond to messages on behalf of the agency, and ensure professionalism and timeliness in all responses.
- Receive agency phone calls to the main line, forward messages, and calls to proper parties, and return calls on behalf of the agency.
- Learn about each program department to be able to provide information to callers and visitors.
- Maintain the front office lobby area to be warm, welcoming, and informative to visitors.
- 15. Manage the postage meter and run reports for the Finance Department.
- 16. Receive and process payments for various items including calendar sales, tickets, etc. and other payment and donation transactions using Square.
Physical Responsibilities:
1. The ability to sit for extended periods of time; hear and take messages.
2. The ability to lift supply boxes and reach to place them on storage shelves; bend while performing basic maintenance and minor repair of office equipment.
3. The ability to use hands and wrists to type for extended periods of time-repetitive motion.
4. The ability to drive a motor vehicle when engaging in miscellaneous errands.
Equipment Used:
Computer, laptop, fax/copy/scan machine.
Qualifications:
- High school diploma or equivalent GED certificate.
- 1-3 years’ experience in office administration and/or reception.
- Must be Bilingual in Spanish.
Required Skills/Abilities:
- Experience in data entry.
- Proficient in Microsoft Office 365.
- Excellent people’s skills organized and dependable.
- Demonstrates effective oral and written communication skills in daily work.
- Demonstrates creative critical thinking skills.
- Experience working with culturally diverse communities/families, with proven ability to be culturally sensitive and proper.
- Works well independently.
- Ability to make sound judgments and manage stressful situations.
