Administrative Assistant
STARTING PAY: $22.11; $45,989/year

JOB SUMMARY: Supports the day to day operations, with tasks ranging from simple to complex, contributing to the efficient operation of the Sheriff’s Office as a whole.
JOB DUTIES/RESPONSIBILITIES:
- Organize and support all administrative duties in the office
- Monitor and maintain office supplies inventory and place orders as needed
- Point person for sorting mail, supply and equipment orders, invoice coding, and general office errands
- Perform receptionist duties: greet visitors, answer and direct phone calls
- Receive and sort incoming mail and deliveries, and manage outgoing mail
- Identify opportunities for process and office management improvements, and design and implement new systems
- Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars
- Assist with tracking receipts and purchase orders
- Submit out of pocket reimbursement requests to treasurers office
- Manage relationships with vendors, service providers, ensuring that all items are invoiced and paid on time
- Remain updated on technical and professional knowledge by attending educational workshops, joining professional associations, and building networks with fellow professionals
- Participate actively in the planning and execution of agency events
- Ensure filing systems are maintained, current and kept secure
- Ensure security, integrity, and confidentiality of data
- Handle customer inquiries and complaints by directing to the proper command staff personnel
- Maintain a safe, secure, and pleasant work environment
- Utilizes a computer and various software programs to perform tasks including but not limited to review and edit of reports, contracts, minutes; perform data entry, maintain spreadsheets and process other various paperwork
- Coordinate training requests; make payment for registration fees, request per diem and make travel plans/accommodations for personnel as needed
- Issue electronic equipment and maintain inventory
- Cross train in other positions and be prepared to perform other duties as needed/assigned
- Must arrive at work on time, prepared to perform assigned duties and work assigned schedule
REQUIRED EXPERIENCE AND ABILITIES:
- 2 years of work experience in an administrative assistant / office management role
- Must type at least 35wpm
- Must have exceptional attention to detail
- Strong organizational and time management skills, and ability to prioritize tasks
- Must be highly proficient with Microsoft Office Suite and Google docs
- Must be a self-starter and driven
- Excellent communication and interpersonal skills
- Strong problem-solving skills and analytical abilities
MINIMUM QUALIFICATIONS/EDUCATIONAL REQUIREMENTS:
- Must be at least 18 years of age at date of hire;
- Must be a United States citizen or have naturalized citizenship;
- High School Diploma or GED is required; some college is preferred.
- Must possess, or have ability to obtain, Texas Driver License
- Must have a good driving record
- Must be of good moral character
- Must pass a thorough background investigation to include an oral interview and drug test
- Must be a notary public or be able to obtain certification.
- Must be detail-oriented and able to complete tasks in a timely manner
- Law enforcement experience is a plus
- Effectively, and courteously, represent the Sheriff’s Office in contacts with the public and other law enforcement agencies
- Establish and maintain a cooperative and positive attitude
- Must have the ability to speak English clearly to be understood by others
- Must understand written sentences and paragraphs in English
- Requires knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar
- Must have the ability to read and understand information and ideas presented in writing
- Must have and maintain the ability to work independently; and cooperatively, in group situations.
- Must be highly proficient in, and maintain the ability to use, computer systems necessary to perform duties
- Must have and maintain the ability to concentrate on a task over a period of time without being distracted;
- Must be able to complete tasks, with moderate, periodic interruptions, while still meeting deadlines.
- Required to be bondable under the Sheriff’s Official Bond
- Required to dress in professional attire at work daily
