Home Instead is seeking a self-motivated, detail-orientated Office Administrator to join our growing office! The ideal candidate will play a crucial role in ensuring the smooth operation of our office, providing administrative support, as well as recruiting Care Pros with the continuous growth of the company. This position requires excellent communication skills and be able to work with a team.
Responsibilities
- Greet and welcome each visitor in a friendly, warm, and professional manner
- Manage phone systems and distribute incoming calls with professionalism and courtesy, demonstrating excellent phone etiquette.
- Provide administrative support including scheduling appointments, managing correspondence, and maintaining records.
- Assist with recruiting and interviewing new employees; along with following all Home Instead hiring standards
- Assist with human resources to facilitate onboarding processes and maintain employee records.
- Enter and maintain accurate client and CarePro records in our operating systems
- Communicate client and CarePro concerns and/or problems with other staff members, as appropriate
- Ensure Home Instead standards are met and upheld
- Maintain regular attendance at the office
- Demonstrate open and effective communication with owner, colleagues, clients, and CarePros
- Check in frequently with leads within the applicant tracking system
Experience
- Proven experience in office administration or a similar role
- Must be patient and congenial on the telephone
- Proficiency in clerical duties and administrative tasks, with keen attention to detail.
- Familiarity with phone systems and Microsoft office (Word, Excel, PowerPoint, Outlook)
- Excellent communication skills, both verbal and written, are required for effective interaction with team members and clients.
- Must have the ability to organize and prioritize daily, monthly, quarterly, and yearly work
- Must have the ability to perform duties in a professional office setting
- Must have the ability to work as part of a team
- Must demonstrate excellent organizational skills
- Must be able to pass pre-employment background check and pre-employment drug test
